Job Description

We are looking for a Senior Portfolio Manager to help the team manage a portfolio of prime Freehold/long leasehold residential block properties.You will be the integral leader of a team, reporting to the Director of Block Management with line manager responsibility for PM and Asst PM and helping us to provide outstanding customer service.Full time: Monday to Friday 8.45am - 5.30pm although circumstances may require additional out-of-hours work from time to time.The successful candidate will have the following:Qualifications:A good standard of general education is essential.Associate level IRPM or higher and a willingness to progressMin 5 years’ experience in Block management - ideally managing prime blocks/estatesKey responsibilities will include:Primary responsibility for the delivery of a quality property management service to a portfolio of residential buildings.Undertake client care and liaison.Work in conjunction with the Head of Property Management, Operations Manager,Surveying Team and Accounts Department to deliver a seamless service.Be open to opportunities and commercially proactive in new business acquisitionMain Duties (to include)FinanceTo drive the production of annual service charge budgets for properties complete with supporting notes, and ensure client agreement is obtained before demands are issued.Verify and approve supplier invoices, passing approved invoices to the AccountsDepartment for payment, ensuring that invoices are in the client name c/o the managing agentTo be ultimately responsible for service charge expenditure across the portfolio.Site InspectionsTo create a yearly schedule of site inspections across your portfolio based on location, required frequency and needs of each property.To proactively ensure that you meet the site inspection schedule with regards to attendance at properties, completing a site inspection form and identifying matters on site.Major Works - Section 20To proactively plan the scheduling of major cyclical & other section 20 works on your portfolio.To deliver the section 20 process and work with the surveying team in completion of major projects, in accordance with the Managing Director who oversees the whole project schedule.Maintenance & Service ContractsTo ensure that the relevant service contracts are in place, e.g. for boilers, lifts, entry phones, television aerials, drains, security, roller shutters, fire protection etc etc for all properties.To regularly review service contracts, agree service levels, identify necessary preventative maintenance and pre-authorise expenditure within agreed parameters (certainly within the confines of the Section 20’ thresholds for works and long-term agreements).Instruct reactive maintenance work orders in response to incoming reports. To oversee the assistant property managers to ensure correct contractor allocation, timescales are in place, and that they chase and close down all open works orders to ensure prompt,effective maintenance works are completed via a tracker.Work with the panel of contractors and the assistant property managers to ensure excellent and prompt completion of orders and report to the operations manager regarding weekly progress.Health & SafetyTo take responsibility in the delivery of H&S compliance across your portfolio.To take responsibility and to ensure action on Health and Safety reports (fire risk assessments, water hygiene, asbestos, LOLER,) and arrange for the necessary rectification measures.Liaise with Health and Safety consultants and contractors, where required.Client and Customer CarePerform excellent customer service to all clients and customers as part of the PM team, in terms of all incoming communications, phone calls, walk-ins, emails, letters etc. To ensure the highest levels of customer service are upheld and all customers receive5* service in every instance.To prepare for and lead on client meetings, working with the admin team to collate/copy/ distribute all necessary documentation in advance of meetings and hosting any meetings, taking responsibility for the issuing of minutes afterwards.Demonstrate proactive engagement with clients and leaseholders, ensuring all are kept abreast of issues at the building which may impact on them.InsuranceTo ensure set-up of new insurance claims and in progressing these claims with the brokers via the required steps. To report on claim progress to Head of Block periodically.Legislation / TrainingKeep abreast of relevant legislation affecting the property management industry and where appropriate, share information learned with colleagues.Attend training courses, obtain personal industry qualification’s and improvement opportunities or seminars.Management of StaffTo mentor, guide, develop and manage an assistant & property manager supporting you in your role.Oversee and manage any on site staff where applicable.Office AdministrationAnswer incoming phone calls & action or take messages as required, inc checking of voicemails.Liaise with colleagues to create and maintain spreadsheets tracking progress of works orders, insurance claims etc.Attend company meetings as required and provide updates on areas of responsibility.By applying for this advert, we may forward your CV to the client, please visit www.JacksonSimsRecruitment.com for information on our privacy policy.
