Job Description

Administration AssistantAdministrator / Administration Assistant. A Brislington, Bristol based firm are looking for a new Administrator / Administration Assistant to join the team.This Admin position is Monday to Friday 9:00-17:00.The Administrator key responsibilities are:

  • The first point of contact for clients and suppliers.
  • Answering the phone and redirecting them to the most appropriate personnel or dealing with any queries where possible.
  • The first point of contact when answering queries via email or in person and redirecting them to the most appropriate personnel/department or dealing with it personally where possible.
  • First point of contact regarding clients, visitors and suppliers gaining access/entry to the building.
  • Ensuring the stationary cupboard is kept tidy and in order as well as ensuring tea, sugar and coffee is well stock and informing the manager as and when more stock is required.
  • Organising currier services when required.
  • Preparing official company documents from written manuscripts, file notes and DMS (documents management systems).
  • The timely distribution of any required documents/sales correspondence to customer/suppliers via postal or electronic means.
  • Preparation and management of any other correspondence, reports or documents.
  • Supporting the Crate hire department with various administration requirements.
  • Taking, typing and distributing minutes of meetings if required.
  • Handling incoming and outgoing mail.
  • Filing, photocopying and archiving documents and files as required.
  • Organisation and maintenance of the filing systems.
  • Liaising with clients, suppliers and member of the senior leadership team to ensure an effective and efficient relocation process.
  • Any other duties that we may from time to time assign responding to the needs of the business.
The Administration Assistant will need:
  • Previous recent experience working in Administration.
  • You must have a genuine interest in Administration.
  • Must be able to work in a team as well as be able to use your initiative to and carry out task independently.
  • Be a proactive team member.
  • You will need to be willing to help others and be open to new challenges.
  • Ideally would have working within the removals industry but not essential.
  • You will be proficient in Microsoft office as well as having a good grasp of grammar and spelling.
  • Be able to work under pressure and within tight deadlines.
  • Be able to prioritise workload.
  • Attention to detail.
