Job Description

Salary: £16757 - £18846Hours: 22 hours per weekHolidays: Up to 40 days per year THE ROLEWe are supporting a fantastic University with a campus in Birmingham to recruit for a Senior Administrative Officer: Finance Business Support position.This is a PART TIME role 22 hours per week in a beautiful location.You will assist the Senior Finance Business Partner produce accurate and timely key management and financial information using financial planning monitoring tools and models to enable effective management decision making. This will involve being the keypoint of contact overseeing all matters related to student finances across the Institute, providing support to students according to priorities of the academic cycle working collaboratively with internal and external colleagues. The Post holder will be expectedto work closely with the Student Loan Company and manage the Institutes student debt, delivering high quality customer services and administrative support. MAIN DUTIES The duties of the post will vary according to the academic cycle and will be focused in the following areas:Student Finance

  • Monitor student debt and prepare regular student debt reports for the Institutes senior management.
  • Key point of contact for students finance queries giving advice on all matters related to tuition fees and working closely with SLC, as well as colleagues across the University in Finance, Registry, Admissions, Student services and Assessment teams.
  • Undertake Pre-Liability Change of Circumstances checks for applicants/students.
  • Prepare and submit/upload bulk registration confirmations to SLC.
  • Manually check outstanding registration confirmations for IICL based students and confirm with SLC as appropriate.
  • Prepare and submit/upload bulk attendance confirmations to SLC.
  • Manually check outstanding attendance confirmations for based students and confirm with SLC as appropriate.
  • Submit Change of Circumstances (course transfers, suspensions, withdrawals by students or by Boards, resumptions) for based students
  • Produce student withdrawal and retention reports for use by the senior management to help them make informed decisions and improve academic outcomes.
  • Establish students tuition fees funding status and take appropriate action to support students without funding.
  • Proactively identifying potential barriers within the student finance processes and initiate steps to continuously improve processes.
  • Closely liaise with other teams across the Institute to facilitate swift student registration and required follow up processes.
  • Assist Senior Finance Business Partner with ad hoc projects/business cases and any other tasks when required.
  • Assist Senior Finance Business Partner to design a robust student debt monitoring system.
  • Monitor email accounts and respond in an appropriate and timely manner
Financial management
  • Raise purchase orders in accordance with the Universitys policies and procedures.
  • Liaise with the Universitys central Purchase Ledger team to ensure the Institutes invoices are paid in a timely manner.
  • Manage the Institutes corporate credit card purchases and prepare monthly reconciliations for both London and Birmingham campuses for submission to central Finance.
  • Assist Senior Finance Business Partner collate information and prepare monthly financial performance reports and ad hoc financial analysis.
  • Assist Senior Finance Business Partner prepare budgets, business plans and forecast.
  • Prepare and post journals into the General Ledger.

PERSONAL SPECIFICATION
  1. Educated to a degree level or equivalent professional experience
  2. Knowledge of Student Loan Company and its processes
  3. Previous experience providing student support in a Higher Education setting
  4. Effective organisational skills and demonstrable attention to detail
  5. Effective and relevant IT skills
  6. Significant experience in providing customer service or service support
  7. Effective communication skills, with an ability to communicate at all levels of an organisation
  8. Ability to manage workload, organising and prioritising work to meet strict financial deadlines
  9. An ability to work with colleagues, when working to a specific brief and produce measurable results
  10. Previous experience working in a financial environment
  11. Previous experience of working on a "task and finish" project
  12. A relevant financial qualification
