Receptionist / Front of House Administrator with good administrative, organisational, customer service and time-management skills, who is a highly motivated individual, customer focussed with a passion about making a difference to the livesof families within the borough required for a well-established and leading childrens charity based in Birmingham, West Midlands.SALARY: £19,406 - £20,594 per annumLOCATION: Birmingham, West MidlandsJOB TYPE: Full-Time, PermanentWORKING HOURS: 37 hours per weekJOB OVERVIEWWe have a fantastic new job opportunity for a Receptionist / Front of House Administrator with good administrative, organisational, customer service and time-management skills, who is a highly motivated individual, customer focussed with a passion aboutmaking a difference to the lives of families within the borough required for a well-established and leading childrens charity based in Birmingham, West Midlands.Working as a Receptionist / Front of House Administrator you will be required to provide reception and general administration support within Childrens Centres including meeting and greeting visitors, handling telephone enquiries, dealing with post and supportingdata gathering and monitoring systems.As a Receptionist / Front of House Administrator you will be responsible for the day-to-day efficient running of the reception area at a Childrens Centre, including health & safety of the environment, as well as other clerical duties.DUTIESYour duties as a Receptionist / Front of House Administrator will include:

  • Promoting safeguarding policies and procedures to all visitors on arrival, ensuring safe practice is maintained
  • Responsible for the day-to-day efficient running of the reception area at a Childrens Centre, including health & safety of the environment
  • Responsible for welcoming parents, children, staff and other members of the public
  • Receive and respond to telephone enquiries, redirecting as necessary and in a timely manner
  • Maintain accurate record systems / booking out systems for room usage within the building
  • General administrative duties: Operate and use word processing, database and spreadsheet software
  • Undertake general clerical duties; photocopying, filing, message taking, incoming and outgoing post, maintain diaries
  • Preparation and tracking of correspondence and reports and the necessary follow up action
  • Make arrangements for booking of venues, ordering refreshments and equipment for meetings
  • Assisting in maintaining the Childrens Centre staffs filing systems. Raising of orders
  • Deal with incoming calls, answer general queries and refer calls to appropriate departments and take message where necessary
  • Greet all visitors and inform the relevant employee when their guests have arrived and/or show them to the appropriate meeting room ensuring that they have signed into the building
CANDIDATE REQUIREMENTS
  • Experience of general clerical duties including knowledge and experience of various Microsoft IT packages
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Experience of dealing with the public and telephone enquiries
  • Excellent organisational skills
  • Monitoring and maintaining office equipment
  • Knowledge of ICT packages and relevant software
  • Knowledge of Databases
  • Knowledge of Data Protection Act/s
  • Knowledge of Customer service principles and practice
  • Knowledge of administrative and clerical procedures
  • Communication skills - with a high standard of interpersonal skills in interaction with a wide variety of people including face to face, by telephone, and e-mail
  • Ability to undertake word processing to a proficient standard
  • Skilled in the use of in Microsoft office packages, such as Word; Excel and PowerPoint
  • Organisational skills
  • Able to work alone and use own initiative and organise own workload
  • Level 2 NVQ Diploma in Front of House Reception
  • Level 2 Customer Care
  • Appropriate Microsoft package software proficiency, good typing ability
  • General education to GCSE standard preferably including Maths and English Language Grade C and above or equivalent
