Job Description

Position: Personal Assistant Pay: £12.85 p/h Location: Birmingham Contact: 3 months Job Summary for Personal Assistant: A University in Birmingham are looking to recruit an experienced Personal Assistant to provide a high level of executive support to the directors in the Life and Environmental Sciences department.PA Support

  • Acting as Personal Assistant to the Director of Operations
  • Managing a complex diary, effectively prioritising meetings in order to maximise the time of the DoOp. Oversee the inbox as required, flagging all urgent messages, and ensuring that deadlines are met
  • Chasing meeting papers, and making sure that all necessary information ahead of meetings is to hand
  • Drafting agendas, collating papers, and taking minutes at high profile meetings
  • Liaising with College Business Partners, Heads of School, College Directors, and all DoOp direct reports to make sure that regular 1:1 meetings take place
  • Work with UEB PAs to ensure that all necessary committee meetings are in the diary
  • Booking travel and accommodation as required. The role may involve creating itineraries, ordering currency, and arranging overseas meetings
Administration and Procurement
  • Provide support for the effective administration of the College Hub
  • Managing the Colleges Reward and Recognition monthly award
  • Ordering items for the College Hub via Core Systems; carrying out regular inventories to ensure that all stationery, catering, and ad hoc orders are placed
  • Organise programmes for visitors to the College, arranging tours as required
Financial Management
  • Monitoring the College Hub expenditure, ensuring that spreadsheets are updated with all spends
Recruitment and Human Resources
  • Supporting the College with all recruitment to the senior management team. This includes contacting candidates, circulating necessary information ahead of interviews, assembling interview panels, and assisting on the day with greeting visitors and ensuringthat they are in the right place for presentations, and interviews
  • Creating inductions for senior members of staff joining the College. This includes ensuring that their IT/email accounts are created, and all necessary equipment is ordered
  • Co-ordinate and monitor annual Personal Development Reviews for the DoOps direct reports
Event organisation
  • Organising Inaugural Lectures for newly promoted Professors within the College including setting the date, liaising around lecture titles, sending out invites, booking catering and the necessary venues
  • Assisting with the Colleges Summer School
  • Working with the Director of Research to ensure the smooth running of the annual World Water Day event
  • Working with the Head of College PA to ensure the success of termly College Forum meetings
Additional support in the College Hub
  • Assisting the Head of Colleges PA with College Board; collating and circulating papers and taking minutes in their absence
  • Deputising for the Head of College PA during their holidays
  • Sending out All-Staff emails to ensure that necessary information is shared with the College
  • Network with PAs across the University to ensure that best practice is shared and maintained
