BJSS works with large blue-chip clients, government agencies and innovative start-ups to produce award-winning software.The Office Manager will be a key part of the team, overseeing the support functions which keep the office delivering. We have a relaxed and friendly atmosphere, and were looking for an individual who will be key in ensuring that we retain this atmosphereas we grow. BJSS is an exciting place and we are looking for an outstanding candidate who will work well with our office environment, and who can grow their career alongside the firm.The Office Manager will be accountable for all the aspects of the physical office, including:

  • Physical Security
  • Working with the BJSS security team to ensure that company policies are met within the Birmingham office.
  • Issuing passes and lanyards to guests and new starters
  • New Starters
  • Ensuring that new starters are made to feel welcome and have a great induction into the firm, alongside setting them up in BJSS systems.
  • Making sure all new starters have the relevant kit for day 1 and an induction schedule.
  • Liaising with the Central Operations and Onboarding team to ensure all new starters are set-up and onboarded without any issues.
  • Events Management
    • Events Budget Management
    • Arranging venues and Coordinating speakers, for virtual and physical events including:
      • Quarterly townhalls
      • Summer weekend away
      • Christmas party
      • Lunch and learns
      • Office socials and clubs
    • Event reception and guest management
  • Office Environment and Facilities
  • Accountable for ensuring the office is clean and tidy, both by coordinating the cleaning and maintenance firms that we use, and responsible for ad-hoc tidying throughout the day.
  • Seating plans.
  • Liaising with building management.
  • Supplies
  • Ensuring the office is supplied with stationery.
  • Overseeing that the kitchen area is supplied with drinks and snacks.
  • Working with IT to ensure we have enough equipment in stock.
  • Budgets - managing the office costs to budget and reporting on this each month.
  • Processes and process improvements - operating and designing processes to make the office environment move smoothly.
  • Expenses - assisting with managing expenses, hotels, travel for members of the management team.
  • Health and safety
    • Ensuring an adequate number of staff are First Aid trained.
    • Ensuring there are the correct number of trained Fire Wardens.
    • Managing the Fire safety - yearly risk assessment and Fire extinguisher checks.
About YouWere ideally looking for someone with experience of:
  • Managing a similar sized (100+ people) office before
  • Has supported office moves and/or fit outs for new office space
  • Line management
  • Event management
  • Working to, and managing, a budget
  • Proficient in Microsoft Office
