Job Description

An NHS trust is looking for an Executive Assistant to join their team in Birmingham. The role will be on a 6-month contract at a hybrid working basis. YOUR ROLE You will provide a comprehensive business support service to the Executive Director and assist the Executive Team in achieving the aims and objectives always maintaining the highest standards of customer care. YOUR RESPONSIBILITIES

  • Act as first point of contact for Director(s) screening calls, emails and other communications appropriately; and receiving visitors.
  • Deal with queries autonomously as appropriate to area of responsibility and knowledge.
  • Undertake complex diary management demonstrating an understanding of the portfolios of work of the Director(s) to prioritise commitments appropriately
  • Draft emails, letters, reports, presentations and other documents / communications
  • Organise high level meetings as well as travel arrangements
  • Liaise with a wide range of partners and stakeholders, both internally, externally, including Members, GPs, Senior Managers/Teams, Governing Body Members and Clinical Leads, STP, Local Authority, LMC, NHSE, Community and Trust Providers, and other NHS organisations
  • Be familiar with, and have an understanding of, statutory and legislative requirements of the regulatory framework, relevant to the postholders role.
YOU WILL NEED TO HAVE/BE
  • Previous experience as a P.A preferably within the NHS
  • Further or higher education qualification (A-level or degree level)
  • Proficiency in Microsoft packages
  • I.T. platforms, including shared drives, electronic document libraries (including document control), cloud storage facilities, portable computing equipment, and sharing information remotely.
  • Knowledge of administrative procedures
  • Good communication skills
  • Time management skills
