Job Description

RSR Police is a market leading recruitment business dedicated to supporting Blue Light sector organisations with their recruitment.RSR Police are currently recruiting for an Executive Assistant within the Force Executive Team to co-ordinate and provide a comprehensive secretarial and administration service to the Force Executive Team (FET) and build a strategic partnership with stakeholdersto keep abreast of the forces goals and support the FETs strategic objectives. This role will be a Hybrid working role with a few days based in an office in Birmingham City Centre and occasional travel to London.This role is a permanent role working Monday to Friday. The salary banding for this role is £26,565 to £30,420 per annum.Main Duties:

  • Action correspondence and enquiries on behalf of the clients and ensure responses/briefing documents are provided in a timely manner.
  • Review existing policy and procedures in line with the forces strategy ambition plan, vision and values.
  • Work with partners to produce accurate performance data and demonstrate effective presentation skills
  • Be knowledgeable in areas of responsibility to support service delivery in line with the forces strategy ambition plan, vision and values.
  • Manage a complex diary, prioritising meetings according to importance and urgency, taking into consideration the optimum use of time.
  • Arrange critical Gold meetings at times of serious incidents.
  • Meet regularly with the client to discuss diary commitments and invitations ensuring information is well interpreted to allow decisions to be actioned and outstanding issues to be dealt with effectively.
  • Proactively support Regional and National portfolio responsibilities, ensuring timely response to queries and arranging meetings in external locations.
  • Facilitate key strategic meetings, including the production and distribution of agenda/papers, taking minutes or actions when required and updating action logs.
  • Undertake the management and organisation of regional and national conferences.
  • Support in Senior Leadership Team meetings and exercise authority on their behalf to task Chief Superintendents with action points.
  • Manage travel arrangements including booking flights, visas, rail tickets, hotel accommodation, training courses, conferences, car parking, etc. Arrange car services and replacement vehicles for ad-hoc transport for staff and officers in exceptional circumstances.
  • Ensure timely completion of hospitality and media contact registers and co-ordinate completion of expenses, mileage claims and credit card returns.
  • Manage and evaluate Chief Constables daily correspondence. Record, scan and save documents on share point and respond on behalf of Chief Constable or forward to NPU/Department to action.
  • Act as the Single Point of Contact for all internal and external visitors and ensure they are professionally and courteously treated during their visit. Liaise with appropriate departments to book facilities and refreshments as necessary
  • Undertake general office management responsibilities; ordering catering supplies, stationery, and photocopier supplies, register faults on office machines and co-ordinate roll out of new mobile devices and IT equipment.
Essential Requirements:
  • Experience of secretarial and personal administrative support at an Executive level.
  • The ability to exercise authority, dealing tactfully and appropriately with people at all levels, exhibiting sound judgement and a high degree of emotional intelligence.
  • Demonstrable experience of managing multiple diaries at any one time.
  • Ability to take minutes in meetings and prepare these in formal documents.
  • Experience of developing strong collaborative working relationships with a wide range of stakeholders.
  • The ability to demonstrate excellent communication and influential skills, both verbal and written.
  • Experience of analysing data, preparing basic management reports and delivering findings.
  • The ability to work effectively as part of a team and deliver results in a highly pressured environment.
  • The ability to work unsupervised using own initiative to prioritise and manage own workload to meet urgent deadlines.
  • Experience of being IT literate, including the effective use of MS Office and core systems.
  • The ability to demonstrate a high degree of accuracy and attention to detail.
  • Be highly motivated & resourceful with excellent problem solving skills
  • Be inquisitive, flexible and adaptable to change.
  • The ability to learn new processes and systems quickly and effectively.
  • The ability to deal with all confidential matters with absolute discretion and integrity.
