Job Description

Your new roleHere at Highways England, we have an opportunity for an experienced Document Manager to join our major projects directorate. Youll be supporting the document management processes for our Smart Motorways programme. A key part of the role will be maintaining and developing our document management system. As well as acting as a subject matter expert, providing training, support and guidance when issues arise.What youll be leading on

  • Provide an independent champion and assurance function for Major Projects on document and records management.
  • Support the Smart Motorways Programme Head of Quality Management and Assurance in driving document management in Smart Motorways to meet Highways Englands corporate requirements, and industry standards and best practice
  • Maintain the effective application of the Information and Document Management processes, procedures, standards and tools internally across Smart Motorways projects and externally through the supply chain and other stakeholders to support projects in ensuring all key project & programme data is appropriately maintained and accessible, and that the flow of information across Smart Motorway sand with suppliers is managed appropriately.
  • Carry out periodic assurance reviews to validate effective application of the Information and Document Management processes.
  • Collaborate with the Smart Motorways Programme Management Office, Major Projects Information Management teams, and the project delivery teams to identify good and poor document management practices and procedures and drive improvements.
  • Regularly review and report to the Head of Quality Management and Assurance the effectiveness of the document and records management arrangements in Smart Motorways.
  • Work with Systems Administrators of our EDMS to ensure technical upgrades and corrective interventions are delivered, when required.
  • Provide a help-desk facility for the Smart Motorways Programme to provide advice and guidance on document management and to resolve queries and issues.
  • Collaborate with document management super users across the Major Projects directorate and wider Highways England organisation, to contribute to consistency and share best practice.
  • To be successful:
  • An experienced Document Manager with substantial exposure to work in an Electronic Document Management environment
  • Have a willingness and aptitude to learn new systems
  • Have experience of working in a construction or design environment (desirable)
  • Strong communication skills with the confidence to deal with a range of queries and issues.
  • Be able to provide coaching and training to colleagues on our document management system, the principles of document management and best practice approaches.
  • Able to manage own workload and work independently, as well as being able to work as part of a wider team.
