Job Description

Closing date 18/06/21Birmingham 2022 is looking for a Lead Hospitality Manager. The incumbent of this role will be responsible for the total project planning and operational management of the Hospitality Programme across defined competition venues to deliver hospitality to the Sponsors and Commercial Clients as well as key stakeholder groups who are an intrinsic part of the Games. The Lead Hospitality Manager will be actively involved in the procurement and selection of sales agents and defined delivery contractors and assist with the negotiation of agreements. The initial phase of this role will involve the detailed project planning for the programme following on from a detailed Feasibility Study commissioned by the Organising Committee, this will include the development of hospitality packages, sales strategy, budget accountability and liaison with appointed caterers to supply the level of service that a programme at a global sporting event demands. The second phase will be operational and will involve the implementation and site supervision of the Hospitality Programme across all Venues.Responsibilities:

  • Develop the defined operational strategies and plans per venue location. Consult with Organising Committee venue managers, Catering Cleaning & Waste managers, Ticketing, Sponsorship Services, Games Family Services existing facility owners and other related parties regarding the physical needs and requirements necessary to coordinate and manage the development of the Hospitality Programme.
  • Project Planning of the Hospitality Programme from marketing, sales, fulfilment, client services through to the operational delivery.
  • Project Planning throughout the Hospitality Procurement phase of sales agents and required operational delivery contractors.
  • Management of all timelines and responsibilities in the relationship between the Organising Committee and the Hospitality Programme contractors from award to completion of the contract.
  • Development of sales forecasting for the sale of hospitality packages across all key stakeholder groups to be reported to the Head of CCW on a monthly basis.
  • Development and implementation of a sales strategy for the commercial Hospitality Programme, including sales collateral.
  • Monitor and manage the Hospitality budget, financial data spreadsheet development, financial reporting and pricing models.
  • Work with the appointed caterers to ensure that the level of catering provided in terms of menus and service is in line with that set out in the sales collateral and meets expectations of a global multi-sports event
  • Collaborate with Games Overlay, Venue Management and Logistics in the design of the Hospitality operational and support space.
  • Collaborate with Ticketing regarding the hospitality ticket allocation.
  • Develop a post-sales client services programme for the commercial purchasers including the fulfilment of the hospitality packages.
  • Monitor and report on the progress of agreed contract timelines, contingencies, scope changes and milestones on a monthly basis to the Head of CCW.
  • Ensure that all Hospitality planning and deliverables comply with relevant licensing and legislation
  • Skills and ExperienceEssential
  • Extensive knowledge of Hospitality Sales and Operations
  • Ability to translate client needs into efficient Hospitality operations
  • Skilled in the use of Microsoft 365 Office suite of programmes and be able to create and deliver presentations to potential clients
  • Significant experience with the project and contract management of Hospitality services and operations management for large scale events
  • Demonstrated experience working within a fast-paced, multi-tiered, project-based environment with set timelines
  • Knowledge of tender processes and expertise in procurement of sales agents
  • Experience in a leadership/ management role in a Hospitality environment
  • Desirable
  • Diploma/degree in Hospitality or Food technology or related area
  • Dynamic, self-motivated and innovative
  • Excellent interpersonal, oral and written skills
  • Flexibility and adaptability to develop improvements to existing systems and processes to achieve greater output and efficiencies
  • Experienced in external relationship management
