Job Description

Supplies TechnicianSector: PublicJob Type: TemporaryDuration: Location: BelfastPay Rates: £10.35 PAYE INCBand: 4Start: AsapWorking days: Monday to Friday, 9am-5pmOverall Job PurposeTo deliver an efficient and effective service in the procurement, provision, management and safekeeping of all supplies for the client. To work initially in a specified supplies operational discipline, with flexibility to work across all disciplines to ensure resilience and continuity of service. To contribute as an integral member of the supplies team to the provision of supplies to support the vision and mission.Duties

  • Management and safekeeping of all supplies for the Fire & Rescue Service.
  • To monitor and record levels of stock and non-stock items, liaising with suppliers and raising replenishment orders as required using the electronic stock management system.
  • To identify, remove and list redundant stock for disposal and prepare items for back loading and disposal including, but not limited to, parts, IT equipment, uniforms, ladders and vehicles in accordance with the client Disposal Policy.
  • To organise the procurement of products for stock, where the product group is under specified cost limits (currently below £5K), in line with financial and procurement regulations and the client’s policy.
  • To assist the Supplies Team Leaders to implement and enforce an effective and efficient security and controls framework within the supplies service.
  • To issue and receipt impress stock items under agreed arrangements.
  • To collect and deliver ordered goods from local suppliers as required.
  • To replenish stocks held by remote and mobile stores, ensuring appropriate stock levels are maintained.
  • To undertake stocktaking and internal audit activities as directed by the Supplies Team Leaders and in accordance with the client’s policy.
  • To process all orders in line with current service policy and in a timely and exacting manner to ensure downtime of vehicles & equipment is kept to a minimum.
  • To investigate the causes when invoices fail auto-clearance and liaise with the Supplies Team Leaders on price/quantity discrepancies for amendment and final sign-off.
  • To process the receipt, checking, acceptance and storage of all deliveries of goods, including updating the electronic supplies management system and advising Supplies Team Leaders of any variances.
  • To update the supplies inventory, as required, as per the asset management policy.
  • To manufacture according to BS AU 145d and record all registration plate data as required.
  • To process contaminated equipment, ensuring appropriate packaging, documentation and quarantine arrangements preceding disposal.
  • To manage the receipt, laundering, repair and return of firefighting clothing for all stations, carrying out appropriate checks and completing relevant documentation.
  • To manage the process for issuing, returning, maintenance and auditing of Personal Protective Equipment (PPE) and serialized equipment, ensuring all documentation is updated. This includes checking and recording the performance of the laundry service provider and preparing associated reports including condition and expected life expectancy and history.
  • To inspect returned firefighters helmets, assess damage and repair or replace as necessary following manufacturers safety instructions and guidelines, complying with PPE requirements.
  • To assist the Team Leader (PPE & U) to fit out Firefighters with uniform and PPE as required, ensuring they meet the required standards ahead of recruitment training.
  • To liaise with Supplies Team Leaders on the suitability of draft quotations and tenders; the safe storage and custody of completed quotation/tender documents and record the successful tenders and prices to enable the correct ordering of goods.
  • To assist in the preparation of reports and appraisals for monitoring actual costs throughout the life of the tender as required.
  • To contribute fully to the performance of the supplies function to ensure key performance indicators for the function are achieved.
  • To demonstrate a team approach to achieving the objectives of the Fleet, Engineering & Supplies Department generally and the supplies team specifically, through full flexibility in relation to tasks undertaken.
  • To ensure the cleanliness of the supplies storage areas and that supplies are stored safely, tidily and correctly.
