Job Description

Office Manager/Assistant Property ManagerA leading organisation based in Belfast who specialise in the development of specialist management systems to various clients are currently seeking an Office Manager/Assistant Property Manager to join their team.This is a Full-time, permanent position.Working hours: 9am-5.15pmWith a salary of £28,000 per annum.Job Purpose: You will be responsible for providing a comprehensive best in Property Management.Essential Criteria:

  • Previous and demonstrable experience within a similar role.
  • IT proficient with the use of Microsoft Office skills.
  • Excellent communication skills, both written and verbal with the ability to communicate with stakeholders at all levels.
  • Ability to manage and prioritise a busy workload.
  • Ability to work on your own initiative as well as part of a team.
  • Understand the accuracy when dealing with Development records, both electronic and paper based.
Main Duties and Responsibilities:
  • Responsible for assisting with the management of all Maintenance, Administration, and Customer Service activities relating to the Team’s Portfolio of Developments.
  • Receive, log, direct and relay all telephone, answering machine, e-mail and fax messages.
  • Assisting with Management of all matters arising from Insurance Claims for the Team Portfolio.
  • Open and date stamp all general correspondence.
  • Maintain the general filing system and file all relevant correspondence accordingly.
  • Assisting with Developing, Implementing, and Reviewing all activities relating to the planned and un-planned facilities management of the Team Portfolio.
  • Maintain an adequate inventory of office supplies.
  • Provide administration services for the Managing Director.
  • Assisting with Developing and Implementing Tendering procedures for works required for Team Portfolio.
  • Assisting with producing maintenance reports or ad hoc Meetings with development directors.
  • First point of contact – meet and greet business clients and staff.
  • Administrating all outgoing mail and taking payment for personal mail.
  • Ordering stock of tea, coffee milk etc.
  • Keeping reception areas clean at all times.
  • Management of all property keys entering and leaving office.
  • Assisting with Logging on QUBE/ECS of all telephone, e mail, fax and letter communications.
  • Assisting with Help Desk Management Activities for Team Portfolio.
  • Assisting with Service Charge Invoicing and Credit Control procedures for Team Portfolio.
  • Assisting with Service Charge Expenditure and Payments relating to Team Portfolio.
  • Assisting with the administration of Solicitor “Sales pack” information.
  • Any other duties as required.
