Job Description

Business Support Exec: Admin AssistantAn exciting opportunity has arisen for an experienced Administrator (Business Support Exec) to join a leading consultancy firm based in Belfast.This is a Full-Time, permanent position.Working hours: 9am-5pmWith a salary from £26,000 per annum (negotiable dependent on experience).Job Role:You will be responsible for supporting the leadership team of the office, contributing to the profitable delivery of the office business plan through the delivery of excellent administrative support to the wider team.Essential Criteria:

  • Previous and demonstrable secretarial experience with the understanding of relevant systems and procedures.
  • IT proficient with the use of IT packages.
  • Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.
  • Excellent customer service skills.
  • Highly organised and efficient with a high degree of accuracy.
  • Ability to manage and prioritise a busy workload.
  • Ability to work on your own initiative as well as part of a team.
Main Duties and Responsibilities:
  • Provide support to the Business Support Partner in helping to deliver an excellent administrative and support service.
  • Document production and formatting.
  • Distribute incoming and preparation of outgoing post.
  • Photocopying, collation and binding of reports, scanning.
  • Filing and archiving.
  • Arrangement of meetings and diary maintenance.
  • Travel arrangements.
  • Reception duties.
  • Order and maintain levels of office supplies.
  • Deal with client enquiries and take accurate messages.
  • Organise team events.
  • Organise client events/breakfast seminars and provide support including refreshments.
  • Greet visitors to the office and service meetings.
  • Maintain client/contact database.
  • Maintain marketing and Business Development materials.
  • Assist team in following Management System procedures.
  • Comply with office policies relating to recycling and minimising energy usage.
  • Arrange printing of drawings/documents and proofread.
  • Effectively organise communal office areas.
