Receptionist/Office AdministratorAn opportunity has arisen for an experienced Receptionist/Office Administrator to join a well-established, independent property practice based in Belfast.This is a Full-Time, temporary position initially for 9 months.Working hours: Monday to Friday: 9am – 5.30pmWith a salary of £20,000 - £22,000 per annum (dependent on experience)Job Role:You will be responsible for supporting the company agency and property management teams.Essential Criteria:Previous experience of working in an office operations and administrative role.5 GCSE/GCE ’O’ Level at grade A - C including English and Maths.RSA/OCR Stage II Text Processing Part I and Part II (or equivalent) OR 1 year’s word processing experience, to include typing and formatting of reports and letters’.IT proficient with the use of Microsoft Office packages with proven experience of using Outlook, Word and Excel.Excellent communication skills both written and verbal – with the ability to communicate with stakeholders at all levels.High organisation skills and the ability to manage and prioritise a busy workload.Ability to work on your own initiative as well as part of a team.Desirable Criteria:Audio typing.Main Duties and Responsibilities:Handling telephone calls.Dealing with enquiries and relaying accurate messages as required and responding appropriately to any questions and queries on behalf of the office and communicating efficiently and effectively with the team, as well as current/potential tenants/customers.Managing the reception mailbox, including checking voicemails and forwarding on to appropriate person.Meeting and greeting clients and visitors at reception in a friendly and courteous manner and directing them as appropriate and maintaining the highest standards of presentation in the reception area at all times.Setting up of meeting rooms and private offices before and after use.Receipt of Bank Remittances by email and forwarding on to Accounts Dept.Receiving cash and cheques and writing up of cash sheet.Uploading property details to websites, printing of brochures, preparing and sending out email mailshots and updating/maintaining mailchimp database.Typing duties by way of copy typing and dictation to a high standard.Preparation and typing of Valuation Reports.Preparation of Photo Schedules.Various ad-hoc administration duties to include filing, photocopying, scanning and postage duties.Monitoring sign in/sign out procedures.Maintaining the Database of property particulars from other agents.Preparation of Commercial Property Listings and various schedules for weekly meetings.Assist surveyors with the co-ordination of scheduling viewings/appointments.Monitoring stationery levels and preparing orders as necessary. Purchasing of office consumables (tea, coffee, etc).Any other duties as required from time to time.
