Job Description

Foster + PartnersJob title: Global Mobility Specialist Reporting to: Reward ManagerFoster and Partners are an award-winning British architectural design and engineering firm who put forward an innovative, modern and sustainable approach. We are based in Battersea SW London. We are currenlty looking to recruit an experienced Global Mobility Specialist to join our HR functionThe Global Mobility specialist will work within the HR team to provide responsive and effective Global support and HR support for their client areas across Foster + Partners international locations. You will be liaising directly with HR colleagues, employees and the relevant business functions. The person must be able to work within a team, be self-motivated, proactive and highly organised.Responsibilities

  • Provide advice to HR Advisors/managers/employees and ensure global mobility processes and policy is followed
  • Develop strong relationships within the business, including payroll and finance teams
  • Become policy expert and encourage knowledge sharing as part of the team culture within global mobility
  • Develop understanding of the cost implications of international assignments and business trips in accordance with the policies and maintenance of the cost projection tools
  • Ensure HR IT system is utilised as the key tool for all inbound and outbound international assignments and business trips to monitor assignments
  • Maintenance of electronic files
  • Support HR Advisors in departure and repatriation briefings with inbound and outbound assignees and business trips where appropriate
  • Monitoring days taken for employees travelling for business across the year
  • Proactively oversee admin process of returners and leavers, working with the business to ensure a smooth reintegration
  • Reviewing assignment letters and other assignment critical documents ensuring accuracy, and highlighting potential issues to the HR Advisors
  • Develop relationships with international office location managers to ensure a smooth and timely transition
  • Production of guides and templates on all international documentation, policies and visas and training HR assistance in the admin processes.
  • Working with relocation providers and providing liaison between the providers and the employee where appropriate
  • Monitoring expat expenses
  • Ad hoc global mobility projects including new office set ups
  • Provide a comprehensive advisory and support service to Head of HR, members of the HR Department, managers and employees
  • Information - Provide information including statistical analysis and reports
  • Documentation - Prepare documentation using the HR Department templates
  • General Administration - Maintenance of HR procedures, HR templates and KPIs, hard copy and electronic filing, maintenance of HR database, records and systems
  • Prioritise - Manage priorities of casework and projects
  • Employment legislation - maintain up to date awareness of employment legislation
  • Maintain International Assignment and other reward data recording on the HR system
  • Qualities, skills and experience required
  • Legally able to work in the UK
  • High proficiency in Excel
  • Experience in Brexit and regulations related
  • Previous experience working within the field of international assignments, either global mobility or expatriate management
  • Applicants will have a good understanding of the assignment lifecycle from start-to-finish including expatriate compensation methodologies.
  • Well organised, strong communicator, and negotiator, able to prioritise and work under pressure, and have a thirst for knowledge and self-development
  • Excellent interpersonal skills as you will be dealing with assignees and senior managers on a day-to-day basis
  • Fluency in English, both written and spoken is essential including being able to draft documents with grammatical accuracy and ability to communicate well at all levels of the organisation.
  • Be committed to maintaining and promoting the high standards of the role, department and Company and maintain a high standard and professional image at all times
  • To ensure discretion is exercised when dealing with sensitive information and enquiries and to ensure confidentiality is maintained at all times
  • To maintain at all times, a friendly, courteous and helpful manner to colleagues, callers and visitors to the HR department
  • Able to work as part of an effective team assisting and supporting HR team members
  • Demonstrate enthusiasm, flexibility, commitment and reliability
  • Resilient to cope with conflicting demands, able to prioritise duties and work effectively under pressure while remaining calm and professional at all times
