To assist the Lettings Director in the running of the lettings department and oversee all administration relating to Lettings.The applicant should possess excellent people skills, be punctual/reliable, trustworthy, and ability to adapt to different clients/situations.The applicant should have experience in property management (Minimum of 2 years).Key Responsibilities (in no particular order)- Cover administration and secretarial tasks, drawing up tenancy agreements, complete all paperwork for new tenants (references, taking funds, registering deposits etc) check in & check outs, drawing up inventories if required, maintain all records and keeping filing up to date, ensuring legal obligations are met. Setting up new properties and tenancies.- Property inspections and creating reports for clients (written & pictorial).- Negotiating contract renewals.- Conducting viewings.- Managing rental payments, preparing monthly and yearly statements, Paying contractor invoices.- Organising maintenance works, obtaining quotes etc.- Notifying utilities.- Keeping in contact with managed clients and tenants.- Answering calls and booking viewings.- Dealing with landlords and tenants if maintenance required and resolve in a timely manner.Key Attributes- Ability to work on own and as part of a team.- IT literacy - Ideally experience using property management software.- Strong communication and English language skills.- Organisational skills.- Ability to review and improve on in house systems and procedures.- Ability to confidently assist landlords, tenants and contractors.
