Job Description

Medical Workforce Deployment Systems ManagerPURPOSE OF JOB:

  • To support the implementation and roll out of Medical Workforce Deployment applications (system’) across the Trust, including Doctors’ Rosters, Appraisals/Validations, eRota, eJob Planning, Temporary staffing and Activity Management.
  • To provide an effective, customer focused support service, ensuring all users are adequately trained and able to fully utilise the system’; ensuring centrally administered data is kept up to date and that changes are completed in a timely manner.
  • To work with key stakeholders to optimise Medical Workforce deployment practice across the Trust
  • To provide first-line helpdesk support for the system’ to Trust users.
    • Location: AscotTemporary: Expected to last 3 months with possible extensionHours per week: 37.5 hours per weekSalary: £21 to £26 per hour (Umbrella) or £17 to £21 per hour (PAYE)EXPERIENCE
  • Supervisory experience
  • Experience of delivering against internal/external SLAs
  • Systems administration experience
  • Experience of using Allocate HealthRoster and /or HealthMedics and/or other Medical Workforce Deployment applications
  • Experience of working in a customer service / helpdesk environment
  • Experience of training design and delivery
  • Experience of designing and giving presentations
  • Experience of dealing with Supplier help desks, and raising prioritising, tracking and escalating issues
    • KEY TASKS & Responsibilities:Implementation
  • To work closely with the Medical Workforce Systems Project Manager during implementation of the new system’.
  • To work closely with managers, clinical and operational staff to ensure the successful implementation, utilisation and management of the system’ and associated practices across the Trust.
  • To promote the use of additional useful new functionality within the system.
  • To help develop implementation plans for each clinical departments and support departments to adopt the system’. To work with suppliers of ,and staff using, existing systems and applications to ensure a smooth cutover to the new system’
  • To design and deliver specialist training and initial support for new implementations until full handover and sign off is reached. To identify areas of further training needs and refer to colleagues to ensure the development and delivery of additional training.
  • To advise and communicate policy or process changes required for effective rostering practices across the organisation and achieving sustained performance.
  • To liaise with colleagues across Workforce Information, Finance and Clinical Departments to make sure that data is accurate and complete.
  • To conduct implementation evaluations post completion to identify unresolved issues and monitor performance
  • To monitor working practices in Clinical Departments and central support teams to ensure that the system’ and associated processes are appropriately embedded
  • To support effective rollout of the system’ to all clinical and support departments across the Trust.
  • To support the development and implementation of interfaces within the system’ and with other workforce systems e.g. ESR, eRostering, Temporary Staffing, eExpenses.
    • Service Delivery
  • To support the effective roll out and operation of the Medical Workforce Deployment Applications (system’) across all areas of the Trust working with managers and clinical staff.
  • To ensure timely and accurate completion of changes and requests received (i.e. updates to templates, staff details, reference data etc).
  • To assist specialty-based Roster Coordinators with the finalisation and production of time and attendance and absence extracts to Payroll to ensure staff on systems are paid accurately on time.
  • To help keep system guidance and user guides up to date, adhering to best practice. To support the design and delivery of system training.
  • To provide advice and support to staff on software and system queries, providing resolution and escalating to senior colleagues / software providers where appropriate.
  • To ensure effective communication to users regarding deadlines, system updates, best practice and other changes as relevant.
  • To support the team with project activities and ad-hoc tasks as required.
  • System Management & Reporting
  • To be a system administrator and a champion user for the system.
  • To manage user access to the system through the assignment (and the suspension and termination) of user accounts and passwords.
  • To ensure that the data quality within the system is appropriate, up-to-date and adheres to the Data Protection Act 1998. Undertake regular data validation against information held within ESR to ensure data is up to date at all times.
  • To keep abreast of system updates, ensuring they are implemented effectively, , liaising with service users, developing plans for implementation and dissemination across all teams, and identifying and flagging any potential risks.
