Responsibilities:? Providing an outstanding customer experience to all visitors and callers? Main point of contact regarding incoming calls on the main Office Line and Customer Experience mailbox? Being the main point of contact for all guests and ad hoc visitors to the Aldershot Office? Logging and distribution of the morning incoming post and weekly Estate Manager post? Assisting the Executive Assistant with all aspects of administrative management? Health & Safety support to the Executive Assistant? Support to Business Liaison Manager by producing the New Business Packs, literature, loading of new estates and monitoring the onboarding process and works towards creating new Understanding Your Lease? Managing inventory of assets and supplies, stationery ordering, sourcing for suppliers (vendors) and submitting invoices? Coordinating between departments in resolving day-to-day administrative and operational problems? Managing the Boardroom/Kitchen/Office supplies?enlisting support when required? Scheduling and coordinating meetings, interviews, events and other similar activities? Preparing business correspondence, agendas, and presentations, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook) and Qube? Managing documents and files, archiving and GDPR requirements? Performing multifaceted general office support such as loading on new estates to Qube, and anything else to support the Executive Assistant? Sending and receiving documents for the company? Assisting in various daily operations? Managing a range of office machines such as photocopiers and computers? Responding to requests from Estates or Head Office for Anniversaries, Birthday?s, flowers etc and maintain logPerson Specification? Minimum of 5 GCSE?s OR equivalent at Grade A to C ( to include English Language & Maths)? Previous experience in a customer service role? Experience of dealing with a varied client group? Experience of working in a demanding customer focused environment? Recognised customer service/customer experience qualification? Excellent communication and interpersonal skills, able to build relationships? Attention to detail, with a right first time approach ? Strong organisation skills including planning/monitoring/time management? Able to prioritise and work on multiple levels? Excellent knowledge of Microsoft Word, Excel and OutlookPersonal Qualities? Confident with a positive attitude? Be approachable, persuasive and reliable? Remain calm under pressure / with the ability to find solutions? Willing to learn new skills and rise to new challenges? Ability to maintain confidentiality when required? Able to work independently and as part of the team and able to look at the "bigger picture" Required skills
