Job Description

Health Roster Support Officer Location: Working

  • Parking on site at Woking No, car parking is chargedType of role: TemporaryDuration of temporary role: Expected to be 2 to 3 weeks and likely to be longerBand: 3Pay Rate: £9.50 per hour paye or £11.00 per hour umbrella depending on skill and experienceHours and days of work: 37.5 hours, Monday to Friday (Full time)Start date: ASAPJob PurposeThe post holder will be responsible for the administration of the E-Rostering systems, ensuring systems are accurate, fully functional and utilised to their optimal performance level and capacity. The HealthRoster Manager will take part in producing standard reports and running various administrative processes as defined by the HealthRoster Manager. They will also be responsible for monitoring the HealthRoster inbox and providing first line support to colleagues.Principalduties to include:Service Delivery
  • Provide and co-ordinate first level system support to operational areas acting as a point of contact on all aspects of HealthRoster.
  • Work effectively with the HealthRoster Manager to ensure a good service is delivered and ensure HealthRoster supports fulfilment of workforce needs.
  • To provide administration support for the HealthRoster team where appropriate.
  • Ensure processes for escalation are utilised where there is non-compliance with effective rostering practice and workforce utilisation.
  • Training on use of system to staff at all levels across organisation either on a one-to-one basis or in a classroom style environment.
  • Support the wider HR team with maintenance and implementation of e-Rostering systems across our client
  • Ensure all training and communication documents are up to date and available in various media formats
  • Develop and maintain the intranet/internet pages owned by the eRoster Team
  • Be able to travel across sites as required
  • System Management and Reporting
  • Accurate and timely input of data to relevant HR Systems and other HR databases as appropriate.
  • Administration of user accounts and contract set ups within the system.
  • Monitor compliance with rostering deadlines - e.g. that rosters are signed off by department managers, processed for payroll (and sent to payroll where appropriate) in a timely and accurate manner, working with payroll provider and HR team to minimise errors and payroll queries that are related to system functionality.
  • Work in partnership with HR Systems team/Finance teams to ensure that Health Roster and other systems are aligned as much as possible. For example sickness codes, cost centres, staffing budget information.
  • To ensure provision of reports to appropriate external departments/ stakeholders as directed.
  • Extract routine reports from the department databases to circulate to managers for information.
  • Monitor roster Key Performance Indicators and escalate issues to the HealthRoster Manager and Head of HR where appropriate
  • To manage the weekly and monthly payroll process. Liaising with external payroll provider to ensure staff on HealthRoster are paid accurately on time.
  • To undertake delegated tasks and projects as required.
  • Knowledge, Skills and Experience
  • Experience of HR systems inputting, data management and development.
  • Knowledge of NHS Terms and Conditions of Service.
  • Experience of reporting and analysing workforce information and statistics.
  • Use of systems and associated data to compile and present workforce reports.
  • Experience of working in a busy deadline-oriented role.
  • Experience of providing a service to both internal and external clients/customers
