Job Description

We are looking for a focussed and well organised Shipping Import Co-ordinator to join our fast-paced business specialising in the supply of design-led gifts to both consumers and retailers worldwide.You will be handling sea and airfreight orders on a start to finish basis, including raising orders, liaising with overseas agents and customers, negotiating rates with carriers, booking container and confirming quotes, dealing with export documentation and liaising with warehouses for delivery.Duties will include, but not be limited to, the following:

  • Raising orders with factories as instructed and ensuring all shipments are accurate and aligned in all relevant systems prior to arrival / departure. Confirming quantities and costs on packing lists from factories are correct and resolving any issues.
  • Managing any delays or shipment issues with factories and forwarders and escalating where necessary to ensure on-time launch.
  • Booking clients deliveries with shipping lines or merchant hauliers - experience of using shipping portals a bonus.
  • Ensure all shipments are in compliance with customs request and regulations - chasing relevant documentation from factories when necessary.
  • Partnering and liaising with shipping suppliers regarding operational issues, rates and complaints - be the main contact for these discussions. Managing all sea and airfreight activity form end to end.
  • Dealing with correspondence from overseas agents & clients.
  • Ad hoc administrative tasks to ensure all channels reflect stock status accurately.
  • Able to build and maintain effective relationships with partners via email and calls / video calls - good written and verbal communication skills essential. Develop constructive relationships with key customers and key suppliers.
  • Ability to liaise between logistics, shipping, merchandising, wholesale and warehouse teams to ensure a smooth delivery daily. Keeping sales teams informed of anything that may cause a delay to customer orders.
  • Collaborate with colleagues and external partners to improve efficiency, productivity and processes.
  • Checking shipping, VAT and freight invoices for discrepancies and confirmation of payment - chasing in outstanding invoices.
  • Ad hoc reporting of shipment status to team and management - advise of any issues and propose solutions.
  • To be considered for the position, you must be able to multi-task and able to cope under the pressure of a fast-paced environment. In addition, you must possess the following key skills and experience:
  • Ability to work on own initiative
  • Knowledge of logistics processes
  • A good awareness of shipping operations performance and targets
  • Previous experience in arranging ocean freight container movements, consolidating to maximise cost benefit and keeping to timescales needed - FCL and LCL sea freight and air freight. Managing shipment quotes within agreed cost parameters
