Job Description

Purpose of roleAn excellent opportunity to work within a close-knit, busy and successful team. This position will initially provide direct technical and administrative support to the Mortgage Director, with the prospect to progress into a long-term Mortgage Advisor. Workingalongside the other Technical Assistant, the position will assist in delivering research and production of new mortgage and protection business and all associated administration, involving processing mortgage business from application stage through to completionand servicing both existing and new HNW clients. The team are currently processing around 20 applications per month, completing approximately £40,000 of procuration fees, therefore a high level of attention to detail, work productivity and the ability to deliverexceptional client service are key.AboutMy client is a boutique wealth planner, asset manager and employee benefits specialist. They have built our company on integrity and trust, because doing what is right for their clients is best for their business.AccountabilitiesThe role comprises, but is not restricted to

  • New business applications and general administration
  • Assist in sourcing suitable mortgages (Research & Affordability)
  • Provide Key Facts Illustrations in advance of client meetings
  • Preparation and sending of client agreements via DocuSign
  • Enter new cases on Intelligent Office and keep mortgage data up-to-date, using the task module to track and monitor the processing stages of each application
  • Liaise with lenders, insurance companies, solicitors and clients ensuring all requirements are met e.g. medical examinations, obtaining evidence of earnings, completion of any questionnaires, and recording and tracking these procedures on Intelligent Office
  • Deal with correspondence and produce Mortgage/Equity Release Suitability Letters, for sign off by the Mortgage Director
  • Maintain the mortgage departments resource library e.g. replenishing Terms of Business, Fact Finds, etc, when required
  • Ensure acceptance terms and mortgage offers are received as promptly as possible, and check these against applications/illustrations
  • Liaise with product providers to ensure all applications are received and completed, and attend to any outstanding requirements
  • Submit applications with relevant Money Laundering requirements and any other supporting documentation
  • Link all incoming and outgoing documentation and correspondence onto client files in a timely manner, including: all written and electronic communication, supporting evidence, conversations and emails with clients, and conversations with providers
  • Ensure electronic client files are organised, updated, easily accessible and compliant
  • Maintain expected commission payments on Intelligent Office and support the accounts department to match fees where required
  • Ensure compliance with FCA and Company compliance procedures
  • Ensure all tasks are carried out within FCA regulatory requirements
  • Notify advisers of any suspicion of a complaint, following appropriate procedures within the complaints handling process
  • Record and file all relevant correspondence appropriately and correctly
  • Follow Anti-Money Laundering Procedures and comply with GDPR requirements
  • Ensure that all dealings with clients are of a proper and entirely factual nature
Experience and QualificationsThe successful candidate will:
  • Have at least 4 years recent experience in a busy mortgage broking environment
  • Have good general knowledge of life and mortgage related products and legislation
  • Demonstrate an understanding of the provision of advice to clients in a compliant manner and an understanding of record keeping requirements
  • Ideally, be familiar with the systems and software, including Intelligent Office, Volume, Mortgage Brain and IRESS
  • Be proficient in the use of Microsoft Office packages (computer literacy is a prerequisite for this role)
  • Be a confident communicator and demonstrate an ability to work collaboratively with others, delivering a consistently high level of service to HNW clients and providers/lenders
  • Mortgage CeMap required, with the aim to study for Equity Release Exam and/or Mortgage Diploma if not already obtained

  • Has the ability to build strong and proactive working relationship with the Mortgage Consultants and their clients
  • Has the aptitude to assist the Mortgage Consultants and their clients in an enthusiastic and proactive manner using organisational, managing and prioritising skills and displaying an exceptional level of attention to detail
  • Has excellent communication skills, both written and verbal, as you will be required to deal with mortgage lenders, clients and their professional connections, particularly in the absence of the Mortgage Consultant
  • Remains focused and motivated to deliver an exceptional level of client service at all times
  • Can be a resourceful and creative problem solver, capable of embracing the role quickly and progressing to working largely unsupervised
  • Works well under pressure and uses their own initiative adapting quickly to changing priorities and new challenges
Location: Weybridge (Surrey)/home-based (hybrid). We are able to offer a great deal of flexibility in terms of where the role is based.Hours of work: 37.5 hours per week, office hours 9am to 5.30pm It may be necessary to occasionally work outside of normal office hours in order to meet the demands of clients and pressing deadlines.Salary: Dependent on experience, but expected to be in the region of £35-40K. Full benefits are also available, together with a discretionary bonus scheme.
