Job Description

Are you looking for a career where you are valued and recognised If so, join The Copse as an HR Administrator and be a part of a supportive team in Weston-Super-Mare.As an HR Administrator, you will be supporting the services recruitment process, from welcoming new starters, organising training to managing leaving requests.You will liaise with new staff members as you manage and verify their compliance documents, including DBS checks, identification, references and Right-To-Work.Working alongside senior staff members, you will manage staff absences and will be responsible for staff payroll, reviewing weekly and monthly costs.A range of training opportunities are available that can see your career grow and you achieve your career aspirations.Your Responsibilities will include:

  • Undertaking all administrative tasks within the hospital such as recruitment, starters, leavers HR related meetings.
  • Be the key person in the Department for co-ordinating all administration and data collection surrounding HR processes.
  • Ensuring compliance with all HR Policies & Procedures and Liaising with all disciplines, especially Operational HR and Head Office staff, on a regular basis on the delivery of HR practices and process.
  • Monitoring own personal and professional development and seeking regular appraisal and review of performance and progress.
  • Undertaking any other tasks requested that are commensurate with the post.
  • Attending mandatory and statutory training on an annual basis as required by Elysium Healthcare
  • Managing staff payroll and checking weekly and monthly cost report
You will provide a reference and guidance point for all Managers with HR related queries and support Managers with their queriesAbsence Management
  • Alert Management and ensure Return to work interviews are completed within 48 hours of the staff member returning to work
  • Ensure management arrange AIP meetings with staff who have hit a trigger point and administer the process through to fruition
  • Run Honeydew absence reports on a weekly basis as to who has outstanding tasks on honeydew and who has reached a trigger point, this is to be sent to all relevant Managers.
  • Report back to the HR Business Partner on staff where AIP meetings have failed to happen within 2 weeks of the employee hitting a trigger point
  • Administer all non-payment letters
  • Reviewing the Honeydew report monthly regarding pay tools and going through checking these are correct against Quinyx / payroll cost report. Then sending any changes back to payroll to amend.
  • Administer ad hoc absences onto the system when asked to do so
Unit 4
  • Update staff details on Unit 4 in regard to changes and leavers
  • Produce Ad hoc reports when requested to do so
Administration
  • Quality check all personnel files against the Elysium compliance framework
  • Maintain all personnel files once employment has commenced and ensure they stay compliant and tidy
  • Ensure all annual checks are completed in regard to right to work checks and professional registrations, ensure all spreadsheets are updated accordingly and sent to the relevant head office departments
  • Ensure all DBS checks are carried out every 3 years and administer the process for renewal
  • Ensure all administration is received and undertaken for all ER issues and processes are completed and filed correctly
  • Ensure all staff probationary meetings are conducted on time and returned to the HR Department for filing
  • Ensure all leavers are processed correctly.
  • Acknowledgement of resignation letters sent
  • Requesting leavers information from manager
  • Complete the leavers forms and exit interviews, sending out exit interviews
  • Ensure payroll is made aware of any information such as maternity and paternity, leavers forms to payroll before cut off.
  • Drivers listadding new members to the drivers list. Getting these approved.
  • Providing policies to employees as and when requested.
  • Ensure all staff who are injured at work are contacted in the first instance in line with the care requirements
  • Reviewing the cost analysis and making sure all employees have the correct cost code and any deductions from pay are correct.
  • Field all incoming queries from employees and direct them appropriately
