Job Description

Interim Requirement - Quality Governance Administration Officer - West MidlandsVenn Group is currently recruiting for a Quality Governance Administration Officer for an organisation based in West MidlandsThis is an interim contract of 8 - 12 weeks offering £13 - £14.63 per hour via an umbrella company Inside IR35.Duties will include:

  • Dealing efficiently and effectively with direct and indirect (i.e. telephone, face to face) enquiries from all levels of medical and nursing staff and other health professionals and staff and patients and their families
  • Organising and supporting higher level (corporate) meetings, such as Quality Assurance Committee, Operational Quality & Safety Group, governance meetings, and directorate governance meetings on behalf of the Associate Director for Quality Governance, andother senior managers within the governance team, including attending to take formal minutes as necessary, and the distribution of agendas and associated papers
  • Respond to complex enquiries, providing routine and non-routine information and non-clinical advice/guidance, resolving problems where possible. Communicating appropriately with all levels of staff groups
  • Attend to all communications/enquiries on a daily basis. Use judgement to undertake an assessment of content/facts/situations to determine the appropriate course of action and the priority for the Governance Teams attention
  • Accurately transcribe all correspondence by touch typing from audio/digital dictation or shorthand using knowledge of medical terminology. Generate routine and non-routine correspondence independently
  • Developing, implementing and maintaining office systems to enable the Quality Governance Team to operate smoothly and effectively, this will include developing/maintaining databases, reorganising office practices, and proposing/implementing changes to policies/proceduresto support improvements across the organisation
  • Work on projects/service developments as directed by the Associate Director for Quality Governance and other senior managers within the governance team e.g. Compliance Manager
  • Responsible for solely arranging and co-ordinating a variety of meetings, events, conferences, workshops, presentations with various professions and agencies (including external) relating to high level governance agendas/work streams. Supporting recruitmentprocesses
  • Maintain the Governance teams diary, booking appointments and liaising regarding venues for meetings etc.
  • Obtaining patients case notes and monitor the requesting and tracking of incidents/investigations bringing information to the attention of the senior governance team, as soon as it is available
