Job Description

We are working in partnership with a well-established, industry leading, construction firm who specialise in high-end residential building projects.They are looking for an Office Manager/Administrator to join them in their friendly and sociable offices based in the beautiful Chelsea Harbour!If you are a confident and hard-working administrator with a positive working attitude then APPLY NOW!JOB TITLE: Office Manager/AdministratorJOB TYPE: PermanentCOMPANY TYPE: High-End Construction CompanySALARY: £28,000 - £35,000 per annumHOURS: Monday to Friday, 8:30am - 5:00pm,LOCATION: Brixton, LondonCULTURE: Professional yet personable office with a sociable teamResponsibilities/DutiesOffice Management:

  • General day-to-day management of offices, ensuring they have supplies & stationary, managing post/deliveries, general administration/organisation, keeping the office clean and tidy
  • Answering incoming calls, meeting and greeting all visitors, offer refreshments and arrange meeting lunches when required
  • Managing all IT, software, equipment, and telecoms across the business and working closely with out IT consultant
  • Managing all elements of the facilities maintenance including utilities, cleaning, equipment, and maintenance/repair works
  • Managing companies digital and physical filing system, including databases, contact lists, inventory lists and external document archiving
  • Managing hotel and travel bookings for the Directors
  • Organise team socials, Christmas parties, gifts, and birthdays
  • Dedicated Fire Marshall & First Aider
  • Manage H&S Training for all staff - book course, update tracker and apply for grants/funding.
  • Manage all courier bookings & deliveries across the business
  • Manage company car fleet, insurances, repair & maintenance across all vehicles and booking system.
  • Manage Zip Car Account and van/car hire across the business
Administration:
  • Subcontractor database management
  • Track expiry dates on Subcontractor insurance and H&S docs and contact subcontractors for renewed documents when required
  • Working closely with the Commercial Team, issue Subcontractor questionnaire at the end of each project and enter feedback into database
  • Manage site set-up for all new projects including, tools & equipment, site office and welfare supplies, cabins, signage, hoarding, utilities/internet, CCTV & Security and PPE
  • Maintain an accurate digital inventory system of all company owned plant, tools and equipment in storage and across multiple building sites. Placing new orders for plant and tools when required
  • Manage all hired tools and plant - circulate updates to all sites, and annual review of prices
  • Manage offloading of site equipment and re-usable building materials during key stages and at the end of the project
  • Manage PAT testing for all CC owned electrical equipment
  • Manage applications for local authority permissions and licenses across all sites, submit applications, track expiry dates, and manage renewals
Skills and Experience
  • Experience within a similar Office Manager or Office Administrator role
  • Highly organised, pro-active and self-directed
  • Proficient in using systems
  • Trusted with confidential matters and information
  • Highly numerate, with ability to enter and analyse data
  • Deadline focused
