Job Description

OFFICE MANAGER - CENTRAL LONDONGKR London have been exclusively instructed to partner with a very prestigious prime property specialists based in the heart of Central London on a newly created Office Management opportunity.The Office Manager will play an instrumental role and be responsible for ensuring the smooth running of the office, alongside managing the day-to-day operations of the building and providing support to both the Managing Director, Head of Private Clients andthe wider businesses based within the building.Remuneration: £27,000 - £35,000 (negotiable and flexible dependent on experience)Working Hours: Mon - Fri, 9am - 5pmLocation: At their stunning offices in Central LondonContract: Full Time | PermanentStart Date: ASAPKey ResponsibilitiesOffice & Supplier Management:* Provide administration support to the group of businesses in the building, managing the day-to-day operations of the building and office,* First point of contact for office visitors - meeting and greeting clients, suppliers, and franking post.* Oversee the smooth running of the office.* Build strong relationships and regularly liaise with facilities and suppliers to manage building maintenance, ensuring everything is in working order and any repairs are reported and dealt with efficiently.* Maintain and troubleshoot any IT issues.* Ensuring the office space and front desk is impeccably presented and always stocked.* Ensure the office complies with health & safety regulations.* Booking meetings, reservations and managing daily appointments.* Coordinate meetings, ensure no conflicts and prepare meeting rooms - keep meeting rooms tidy, equipped, and stocked with refreshments and essential materials.* Diary management.* Arrange travel, book cars and couriers for the team.* Database Management - create filing systems, assist in setting up the CRM system (Vebra Alto)Property Administration Support* Onboard and coordinate new clients and communicate on behalf of the Directors.* Property Administration duties as and when needed - prepare property listings, arrange photography, and floor plans, liaise with the marketing team to coordinate marketing collateral, sales memorandums, conduct Anti Money Laundering and Land Registry checks.* Maintain client records using the CRM system and filing system in place.* Arrange personalised client gifts, cards, and paperwork for clients.* Ad hoc clerical duties - Filing, copying, scanning.Finance Support* Handling expenses and preparing invoices.* Preparing reports for the team.* Proactively maintain and create spreadsheets and logs for the team.Ad Hoc Admin Support* Ad hoc clerical duties - Filing, copying, scanning.* Organise events.CANDIDATE PROFILE:* Previous office management, administration or receptionist experience working in Real Estate. Minimum 12 months experience.* A well-organised, detail orientated administrator who is able to multitask and prioritise effectively, act as a brand advocate for the business and adapt to a growing business.* Professionally presented both in-person and over the phone.* High level of English Language skills & excellent communication skills - both written and verbal.* Able to confidently liaise and build relationships with clients, suppliers, and colleagues.* Excellent attention to detail.* A natural people person with strong interpersonal skills.* Discreet and respects confidentiality.* Collaborative and a team player.* Proactive and a problem solver.* Genuine motivation and desire to contribute to a businesss future growth and be part of the journey.* Has a "Can-do" attitude.* IT literate - proficient in Microsoft office suite.* Previous experience using Vebra Alto - Highly desired but not essential.* Previous experience working in the Prime Central London market - Highly desired but not essential.Please get in touch with us ASAP if you match the above and would like to apply or for more info.
