Job Description

Your key responsibilities will be: This position requires a very motivated individual to assist the Inventory & Supplies Manager in the delivery of an effective and efficient stock management Service to the NHS Trust. The role will involve a significant amount of lifting & handling of productsin all areas including confined parts of clinical departments. The role will also assist in the planning & organisation of team workloads & activities on a routine basis in order to compliment the needs of the end user departments.The Inventory & Supplies Assistant will work closely with the Procurement Drivers and Trust Porters regarding all activities involved in an end to end stock management process whilst carrying out a full Materials Management role as part of the operationalteam. High levels of concentration are needed at all times to cover the accurate receipting of goods into the trust & the accurate supply of goods to end user departments.

  • To cover and maintain a robust Stock Management service which encompasses the receipt and distribution of all goods into the Trust and the subsequent delivery and management of stock in ward and clinical areas.
  • To cover the day to day supervision, co-ordination and guidance of the Drivers/Porters working within the Trust
  • Responsible for the routine receipt and distribution of goods within the 24 hour window allotted for the activity whilst ensuring compliance with instructions issued by Health & Safety Directorate, Medical Electronics Department, Infection Control and IM&T
  • To take a lead role in carrying out and maintaining a regular schedule of ward reviews and stock takes to aid the team in promoting the highest standards of quality within the work area and assist with training & development of small groups of staff toensure the maintenance of those standards. To provide valuable input with regular discussion concerning continued development of the overall service.
  • To deputise for Team members in their absence.
  • Maintain safe handling, return and security of all incoming goods including all NHS Logistics Roll Cages, Tote Boxes & Pallets in order to ensure continuity of service and good customer relations. This may include deliveries outside of immediate Receipt& Distribution environment. There is a requirement also to maintain all lifting and handling equipment used in routine activity, and comply with all legislative requirements, (e.g., HASAW, COSHH) to provide a safe environment at all times.
  • To aid the Team to achieve performance targets as set within the Customer Service Level Agreement and local objectives.
  • The post holder should be able to work on their own initiative, working independently with minimal supervision
  • Whilst there will be other team members and management available for guidance and advice, you will need to exercise your own discretion within the teams standard operating procedure (SOPs) to ensure that stock is co-ordinated across all sites that require,that levels are maintained on time and stock levels meet constantly evolving requirements.
  • You will need to work closely with the procurement teams drivers to react to developing situations, making decisions to reprioritise deliveries to ensure that sites with urgent needs are supported.
  • To maintain full and precise records relating to all activities undertaken and store efficiently to enable swift retrieval for Audit purposes.
  • Manage efficiently and effectively consignment stock levels and products.
  • Agree product amendments/storage merchandising and SKU level amendments with the Stock Controller Supervisor and the departmental Manager.
  • Ensure that orders are expedited, chased and delivered on time.
  • Perform regular cycle counts to ensure stock availability and accuracy.
Required Experience
  • Previous experience in a Supplies Operations / Receipt and Distribution environment.
  • The preferred candidate will have some experience in a supervisory supplies role
  • Demonstrate an ability to supervise staff effectively
  • To be able to demonstrate appropriate level ,of skill with electronic purchasing systems
  • Experience in the use of IT systems including inventory management systems, Microsoft Office products, electronic requisitioning and ordering systems, and other procurement systems.
  • Ability to extract data from electronic systems
