Job Description

Im delighted to be supporting my client in their search for their a HR assistant. This is a fantastic opportunity for an experienced administrator with or without any HR experience to join a great HR team and grow your HR career.A permanent full time role with the opportunity of study support for your CIPD qualification. You will need to be a driver driver to get to their multiple locations.Starting out as HR assistant your main responsibilities will be recruitment, on boarding paperwork, and managing the internal CRM system.You will need to be a confident administrator to use their internal systems and be happy to take calls from colleagues and troubleshoot or take a message regarding the query if a HR manager isnt available.Key Responsibilities

  • Maintain paperwork and computer systems.
  • Maintain all employee records accurately and efficiently.
  • Inputting data into the employee database, including new starters’ details, training, appraisal and employee documents.
  • Filing, photocopying, shredding, dealing with the incoming and outgoing post, and other general admin functions.
  • Help to manage the HR inbox and respond to a range of internal and external queries
  • Ensure all personnel files are set up legally and kept up to date - Ensure the maintenance of employee records, ensuring complete accuracy and confidentiality. Ensure all documentation is electronically filed
  • Producing letters, induction pack, crew handbooks, polices/procedures, forms, minutes and other HR related correspondence
  • Create offer packs, contracts of employments, change to contract letters
  • Support the administration of the DBS process including supporting the HR Advisor on a regular basis with DBS requests, DBS applications including ID checks, maintaining the database and dealing with related queries.
  • Reply to all incoming correspondence.
  • Assist with health and safety issues including recording training onto the database
  • Setting up meetings and welcoming visitors
  • Assist with starters paperwork queries, checking paperwork to ensure that starters meet legal requirements and policy requirements and that all documentation is present and completed. Exploring any issues and ensuring they are dealt with
  • Gathering and checking paperwork for new starters, involving gathering references, writing offer letters and carrying out ID checks
  • Assist with the recruitment process including designing and writing adverts, placing adverts, producing recruitment timetables, producing letters and e-mails, responding to queries and concerns, marking tests and supporting managers
  • Processing Leavers records, exit interviews and record data for future analysis. Maintain accurate records to ensure continued right to work in the UK
  • Assisting the HR team with ad hoc projects and duties as required
  • Maintain the HR section of the website, updating when necessary and finding ways to continuously improve it.
  • Administration of training, including booking events, marketing events, booking and cancelling delegates, producing monthly training reports, maintaining the training diary and co-ordinatingtrainers’ availability to produce new training calendars each year.
  • Providing employees with training on Recruitment and HR systems
  • Ensure the payroll team have all necessary information to process the monthly payroll
  • Collate information relating to sickness absence and ensure the system is regularly updated and prepare monthly reports
  • Collate and run reports on crew annual leave
  • Support the team in employee engagement activities including updating the system, circulating monthly newsletters
  • Updating policies and the staff handbook.
  • Maintain absolute confidentiality
  • Maintain an awareness of HR best practice at all times
