Job Description

The RoleSavills is a leading, global real estate service provider with over 600 offices around the world. Savills plc is listed on the London Stock Market and is the UKs leading property agency group by turnover.The Office Administrator will be responsible for the smooth running of Reception, as well as providing administrative support to the team of fee earners who work in the rural department. The Taunton rural team comprises of 1 Directors, 6 Associate Directorand 1 Associates who work integrally with the support team. The team deal with the lettings, estate management, food and farming consultancy, valuation, sporting and fishing and forestry and woodland management. The Office Administrator is a varied but rewardingrole; idea for someone who enjoys multitasking and delivering first class client service.Primary ObjectivesAdministrative duties:

  • Audio/copy typing of letters, memos and other documentation
  • Diary management, including internal and external meetings, travel and hotel bookings when required
o Assist with general APR admin, e.g. scanning invoices to Client Invoices, preparation of SAFs
  • Managing the booking of meeting rooms for internal and external meetings
  • Processing incoming post and franking outgoing post
  • Filing, archiving, binding reports and photocopying
o Ordering office supplies, including Ordering of printed stationery, paper and consumables
  • Raising Purchase Orders
  • Processing invoices
  • Raising fee invoices and fee share allocation for Agency team using Dynamics
  • Updating and/or producing schedules, spreadsheets, presentations, reports and correspondence
  • Assist in the organisation of internal and external staff and client events; coordinating guest lists, organising travel, organising refreshments etc.
  • General office support as and when required
  • Meeting/greeting visitors and dealing with any queries
  • Answering calls for the office and dealing with enquiries in a professional and pleasant manner
  • Organising refreshments and ensuring rooms are set up for each meeting
  • Maintaining high standards of reception appearance
  • Keeping reception brochures, property lists, magazine and papers up to date
  • Dealing with incoming and outgoing post
  • Dealing with office Health and Safety
  • Dealing with Office ISO requirements.
Estate Administrator duties:With varying levels of involvement and responsibility client by client:o Responsible for maintaining and enhancing the property databaseo Liaising with client accounting and estate managers to ensure invoices are correctly coded and paido promptlyo Reviewing and chasing aged debts and regularly communicating progress to estate managerso Obtaining quotations for minor repair works and instructing contractors in accordance with Savillso procedureso Ensuring statutory compliance certificates are up to date and arranging annual inspectionso Acting as a first point of contact to tenants for reactive repairs and queries. Awareness of estate budget and cash flowso Updating and managing tenancy depositso Arranging utility re-charges through client accounting or estate officeso Liaising with utilities companies and local councils in respect of vacant and in-hand propertiesTenancies and Licenceso Prompting estate managers to undertake rent reviews and lease renewals, as well as completing theo process elements of these tasks o
