Job Description

Your duties and responsibilities will include the following:

  • Meeting and greeting visitors
  • Ensure that the office and telephones are open to both internal and external callers between office hours
  • Administer incoming email enquiries
  • Maintain shared diaries
  • Organise the on-call rota
  • Maintain and update price lists and templates
  • Organise site visits and surveys
  • Enter new enquiries and sites onto the system
  • Perform secretarial functions to include drafting and typing quotations
  • Ensure that new job files are completed with all relevant paperwork and chase for information when necessary
  • Prepare job packs for the engineers and raise installation invoices
  • Apply for signalling and police response
  • Cover the service administrator when necessary and assist other admin team members in busy periods
  • Act as first point of contact for the Operations Manager and provide secretarial support when requested
The skills and experience you will need to have:
  • Previous office-based administration experience
  • Excellent interpersonal and communication skills
  • Efficiency, accuracy and attention to detail
  • Self-motivated and willing to take initiative
  • Aptitude to work without direct supervision
  • The ability to work independently yet also in a team
  • Strong organisational skills
  • Excellent IT skills including Excel, Word, and Outlook
  • Confident when dealing with Senior staff and external clients etc
  • Ability to manage and prioritise workloads and daily tasks
Experience of the industry and knowledge of Mentor CASH desirable but not essential.
