Job Description

Working as part of the laboratory administration team based in Swansea, you will provide secretarial and clerical support to all medical staff and managers; where appropriate, liaising with medical staff and other laboratory staff, hospital/health boardstaff, service users, members of the public and other external contacts.Client DetailsThe successful applicant will be based in Swansea, with an opportunity to do a mix of home and office working.You will be working with a large NHS body, joining a small friendly team on a temporary to permanent basis.DescriptionThe key responsibilities of the Personal Assistant include:

  • Communicate effectively with all members of staff and actively participate in staff meetings.
  • Communicate and liaise effectively with directorates, divisions and stakeholders as directed and required on a range of complex and sensitive topics.
  • Display tact, diplomacy and confidentiality at all times.
  • Provide centralised telephone coverage for the unit, answering where practicable enquiries for staff, patients and external contacts.
  • Collaborate with staff in maintaining accurate databases, updating office operating procedures, inventories and documentation.
  • Assists with providing comprehensive training and supervision of clerical staff and new members of administrative staff within the department in all relevant areas
  • To work in a safe manner in accordance with the Health & Safety policies and procedures.
  • Using high level diary management skills, organise and maintain consultants diaries; responsible for scheduling meetings and resolving potential conflicts with diary appointments and schedules.
  • Responsible for collating, sending out and filing all confidential
  • Responsible for reporting and keeping accurate, confidential records of patient details as required.
ProfileThe successful Personal Assistant will have:
  • Knowledge and experience in a range of personal assistant and office responsibilities, including; non routine diary management, conference and event administration and high level secretarial support.
  • Be proactive in providing support in the event of an outbreak /emergency situation.
  • In depth knowledge of Microsoft Office suite.
  • Strong oral and written communication
