Job Description

Facilities CoordinatorLocation: Office-Based, SwanseaJob Purpose:TSR are proud to be working with a leading global provider of cyber security who are now seeking a dynamic and detail-oriented Facilities Coordinator to ensure the seamless operation of the Swansea Office. Reporting to the Finance Manager, you will playa crucial role in maintaining the office facilities, services, and overall environment in accordance with the firms standards and procedures. This position also involves handling various administrative tasks as needed.Main Duties and Responsibilities:Office Duties/Buildings:

  • Cultivate a perception of Facilities Management (FM) as a dedicated support team providing efficient, customer-oriented service.
  • Collaborate with the EMEA Finance Manager to guarantee that the office adheres to standards and procedures.
  • Support daily office operations, coordinating with approved sub-contractors for services such as cleaning, waste management, PAT testing, fire alarm system maintenance, security, and coffee machines.
  • Manage and maintain the physical aspects and aesthetics of the office to high standards.
  • Implement procedures and standards to ensure a safe and desirable work environment aligned with brand and service.
  • Conduct daily checks to monitor maintenance standards, lighting and heating usage, and the functionality and security of windows and doors. Report and address any issues promptly.
Reception Management:
  • Greet visitors upon arrival, ensuring they are signed in and out using the Visitors Book.
  • Maintain a presentable Reception area at all times.
Room Booking:
  • Manage online conference room bookings.
  • Set up meeting rooms with the necessary equipment and refreshments.
  • Regularly check and maintain the tidiness of meeting rooms.
  • Ensure meeting rooms are emptied, cleaned, and prepared for the next day.
  • Keep meeting rooms stocked with relevant equipment, stationery, and refreshments.
Hospitality:
  • Coordinate and book team lunches as required.
  • Assist with stock replenishment, including sundries, milk, fruit, coffee, tea, water, stationery, and cleaning supplies.
