About DIOThe Defence Infrastructure Organisation (DIO) is the estate expert for Defence, supporting the armed forces to enable military capability by planning, building, maintaining, and servicing infrastructure. Our responsibilities include: • Plan and deliver major capital projects and lifecycle refurbishment • Provide utilities services • Manage soft facilities management (i.e. cleaning and catering) • Provide a safe place to train • Allocate Service Families Accommodation • Procure and manage routine maintenance and reactive repair • Provide a central register of asset information to advise infrastructure planning • Act as steward of the Defence estate • Provide the unarmed guarding service We employ approximately 4,900 staff from a very diverse range of professions including head office functions and specialisms such as surveyors, town planners, airfield pavement experts, foresters and construction engineers. You can view our YouTube video to see more about our workJob descriptionThe ChallengeTechnical Services is separated into four core areas (Engineering and Construction, SHEPS, SSG and Programme Support) that supervise, monitor and assure that DIO deliverables and the activities of contractors meet the requirements of the contract, legal duties and MOD policy in relation to Safety, Health and Environment protection. The Technical Services Business Support officer role is accountable for ensuring they adhere and conform with all agreed DIO Top Level Budgets processes and operating procedures, and particularly those which are detailed under the key infrastructure process for: ensuring their senior manager is able to perform her/his function effectively and efficiently, in the delivery of business assurance, and providing an efficient administrative support service across all areas of the business.ResponsibilitiesMain ResponsibilitiesCorporate Support 10% - Demonstrate a personal commitment to DIO Values. - Support line manager in delivering departmental goals. - Ensure own compliance with mandatory requirements e.g. Health and Safety Training. - Promote strong working relationships both within the team and with other teams across DIO and MOD. Administrative Support 50% - Provision of high quality administrative service. - Carry out duties in relation to photocopying; filing; faxing; office management to include stationery; IT; furniture; Security; Health and Safety and management of group mailbox. - Manage and maintain the Documents register for the group, include management of secret documents and files held in a secure area. Management of Confidential files. Liaison with the security cell and site security officer as required. - Meeting and travel management. - Management of group mailbox where required. Contract Management 10% - Business support administration. - Contract documentation administration. - General duties related to assurance activities. Stakeholder Management 10% - Ensure stakeholders and customers experience a professional, well run office. - Support line manager and team in maintaining stakeholder information and contacts. - Day-to-day interaction with stakeholder’s offices/staff. - Maintain awareness of DIO corporate messaging. Communication and Engagement 10% - Support line manager and team in maintaining communications and engagement information and contacts. - Day-to-day interaction with offices/staff on communications and engagement. - Maintain awareness of DIO corporate messaging. Other Duties including resource management 10% - All other duties required as administrative support. - Any activity required in relation to the management of local budgets including recording of financial information as required. - Making best use of resources including stationery. - Other specific support to the function or team as required. Essential Qualifications• English and Mathematics GCSE or equivalent Grade C Essential Experience & Skills• Demonstrate ability to use IT applications. • Demonstrate where you have managed a database. • Demonstrate where you have worked within timescales.
