Job Description

** Office Administrator and Accounts Assistant **This is a fantastic opportunity for anyone wanting to join a friendly, enthusiastic team within a small but vital organisation.As Office Administrator and Accounts Assistant, reporting directly to the Director of Finance & Operations, your main role will be to implement the general running of the office and execute the day-to-day management accounting.You will be a bright, enthusiastic and self-motivated individual, with a track record of delivery and an excellent knowledge of all Office packages, including Word, Excel and PowerPoint, prior experience of the accounting software Xero is desirable but notessential.Willingness to be a team player, proactive and generally muck in essential.What will it entailAccounting:

  • All general bookkeeping including but not limited to posting sales and purchase invoices on to Xero, reconciling the bank, reconciling membership income, other aspects of monthly accounting including prepayment and accrual movements.
  • Input into the yearly budgeting process.
  • Support the Director of Finance and Operations in basic analysis of data for Finance and Governance Committee papers and Board papers.
Office & Customer Administration:
  • Building facilities and utilities management
  • IT management with contracted support
  • Health & Safety administration
  • Aspects of Banking & Insurance
  • Administration of RBST run training courses with support
  • Support our National Gene Bank Database and contractors
  • Aspects of project funding including controls and reporting
  • Provide a first point of contact for all incoming calls from members, general public, volunteers, press & corporate.
  • All aspects of membership processing using our database systems
  • Membership administration including but not limited to AGM coordination, vote counting, general record keeping and Support Group administration.
What skills and experience do you need to demonstrate
  • An AAT qualification, or equivalent
  • Excellent knowledge of Microsoft Office, including a good standard of Excel
  • Fantastic communication skills and good common sense
  • Solid administration experience
