Job Description

Purchasing Assistant for an innovative, customer focused business. Salary £24,000 plus excellent benefits. Full training given to someone with first class organisational and analytical skills; ideal if stock management experience and able to liaise withboth customers and supplierOur client is looking to recruit a Purchasing Assistant to work closely with Senior Management team, purchasing for both customer orders as well as in-house requirementsGeneral Duties & Responsibilities for the position of Purchasing Assistant:

  • Purchasing of all materials, packaging, stationery, and office consumables.
  • Ensuring critical stock levels are maintained, within the overall stock valuation target. Analysing stock sales to see what are one off purchases, and what is longer term demand.
  • Managing new seasonal and special-order lead times and customer expectation.
  • Receiving out of stock emails and resolving.
  • Ensuring colour ranges are completed.
  • Liaising with suppliers to ensure deliveries are on schedule and maintaining the purchase order table. Working with the sales admin team so that they can update customers with expected delivery dates.
  • Removing "dead" purchase orders.
  • Ensuring cost prices are accurate and up to date on purchase orders.
  • Inputting into Datafile moulders material and packaging requirements and monitoring.
  • Working with suppliers to gather information on stock levels, cost prices, lead times and product data for new and existing products. Liaising with sales admin and sales teams in a timely manner to ensure customer requirements are exceeded.
  • Working with the M.D. on new product development - including new colours.
  • New stock code creation. New label creation.
  • Maintenance of the product database - including updating all relevant information on spreadsheets and in Datafile.
  • Communicating with all relevant parties (sales, sales admin and marketing) on any stock issues that will affect customers or Website / Amazon sales.
  • Working with marketing to identify slow moving stock and ensuring appropriate stock levels for any promotional activity.
  • Cover for Sales Admin team during busy periods or holidays.
  • Matching of delivery notes to invoices, ensuring correct prices have been charged and invoiced quantities match receipts.
  • Purchase orders / invoices / delivery notes to be filed accordingly - electronically and physically.
  • Assisting the FD and MD on any tasks requested.
  • Team player - helping each other to achieve individual and company goals.
Key Skills for the position of Purchasing Assistant:
  • Highly IT literate - EXCEL, Outlook, and Windows based software.
  • Well organised and able to multitask.
  • Great communication skills - ability to liaise with internal team, suppliers, and customers confidently and politely.
  • No knowledge of purchasing required; previous admin and coordination experience preferred
  • Small team mentality - expected to help each other and work collaboratively with all members of the team and Directors.
