Job Description

E-Roster Team LeadJob Type: TemporarySector: HealthcareDuration: This is a temporary ongoing with no end date specified at this stageOffice Location: Cambridge (This will be based at our client’s head office)Remote Working: No information given by the clientBand: 4Pay Rates: £11.20 to £12.00 paye per hour or£12.35 to £13.50 umbrella per hourDepending on skill and experienceWorking days and hours: Monday to Friday, 37.5 hours, 9am-5pmJob PurposeTo support the eRostering of vaccination teams, supporting roster coordinators to use of the E-rostering system ensuring staff are utilised and rostered appropriately. Providing advice, guidance and solutions to enhance the use of the software, and support ongoing improvements in the E-Rostering Service.Summary of responsibilities:

  • To provide day to day support to users. Diagnose and resolve errors or malfunctions of the system, seeking advice or providing feedback to the E-Roster Team Manager, IT or software company if necessary.
  • To resolve support calls effectively and promptly, and within agreed timescales.
  • Process all requests for changes in the E-roster system in a timely and efficient manner.
  • Create and maintain user accounts and system passwords, in line with Trust policies.
  • Apply and monitor system settings (e.g. shifts, rules, patterns and roster templates) in a way which ensures that staff are rostered effectively and according to their contracts.
  • To provide general administrative support to the E-rostering service e.g. organise User Forums, team meetings - minute meetings etc.
  • To develop a thorough understanding of Trust and collaborative partners policies and procedures that relate to e-rostering.
  • Develop good working relationships with associated teams e.g. Payroll, Professional Staffing Service, HR, Finance.
  • To follow the E-rostering Standard Operating Procedures, and contribute to the development of new SOPs as required.
  • Produce and circulate the Roster Production timetable and finalisation deadlines on an annual basis where necessary.
  • Escalate any issues or concerns to the Deputy eRostering Manager
  • Promote the E-rostering system, being a champion of the software to encourage best practice with users.
  • To support service improvement projects and take the lead on certain aspects of these.
  • Contribute to the production of disaster recovery plans for the system, and undertake any required testing. To provide support if disaster recovery plans are invoked.
  • Experience, Skills and Qualifications
  • Experience of using Allocate Healthroster system
  • Experience of processes in NHS or similar environment.
  • Significant experience in working in a complex administrative environment.
  • Experience in using databases and the ability to extract and understand the information.
  • Experience in supporting an E-rostering implementation, or similar service improvement project.
  • Experience in developing and maintaining KPIs (key performance indicators)
  • Experience of creating and managing staff rosters
  • Able to demonstrate commitment to high quality care and service provision
  • Understanding of various HR policies and procedures e.g. EWTD, sickness/absence management etc.
  • Excellent IT and administrative skills, including use of various IT software packages e.g. Word, Excel and PowerPoint
  • Ability to solve complex problems and communicate solutions to staff in an easy-to understand manner.
  • An understanding of the factors affecting the operational and staffing requirements of a ward/clinical team (or similar environment).
