Job Description

An exciting opportunity for a Legal Assistant has arisen within a Private client team within a large Regional Law firm based in Hertfordshire.The role will provide full secretarial support to the team to help progress work for the clients.Main responsibilities:

  • Opening and closing client files including performing on-line money laundering checks.
  • Answering the telephone and meeting clients who call into the office without an appointment, answering queries and taking messages and making appropriate file notes.
  • Maintaining lawyers’ diaries.
  • Organising internal and external meetings.
  • Managing outgoing post and emails.
  • Maintaining internal and client files to ensure they are up to date at all times.
  • Liaising with the accounts department to ensure timely and accurate accounts administration, including receiving cheques, entering on file and passing to accounts.
  • Photocopying, archiving of files
  • Handling initial client queries and new enquiries.
  • Updating and tracking legal documents such as Wills and deeds.
  • Taking client instructions and progressing the matter file under the team leader’s guidance. This may include drafting Wills and powers of attorney and dealing with the administration of estates.
  • Ensuring that work sent to clients and related parties is correctly prepared in accordance with our standards and precedents and the team leader’s guidance.
  • To observe the code of practice in all areas as detailed in the Solicitors Code of Conduct and to observe fully the requirements of the Solicitors Accounts Rules.
  • Reporting any complaints from clients or third parties to the team leader.
  • To record time in accordance with the targets set at the beginning of each financial year and to record a minimum of 720 hours of chargeable time per annum (at an average of 60 hours per month) at charging rates agreed by the team leader.
  • Billing all matters promptly and accurately; maintaining a justifiable and accurate level, paying and collecting disbursements in; accounting for all client monies and transferring from client to office account when appropriate.
  • The successful candidate will have previous experience working within a Private client team and ideally gained legal qualifications along with solid secretarial experience in a law firm.Please contact Ella Britton to discuss in more detail Required skills
