Job Description

We have been providing more homes for people unable to rent or buy privately since March 2002 and we aim to build a home a day - 365 new homes per year.Weare looking for a Planner to join us on a 6 month Fixed Term Contract to undertake effective planning work, coordination of teams, administrative duties and financial and statistical functions in support of all Operations teams providing excellent plannedmaintenance, responsive repairs, empty homes, compliance and grounds services.There couldnt be a more exciting time to join CHP as we are currently experiencing three times the growth of the industry average. We are a voluntary living wage employer and accredited as a Disability Confident Employer.Requirements Co-ordinate resources across all trades teams, including contractors,to ensure that the right number of people with the right skills are in place to achieve business objectives. Effectively schedule all works, projects and inspections and organise materials, logistics, equipment and waste clearance to maximise the efficientuse of resources, improve productivity and provide an excellent service to customers. Assist managers and supervisors in planning, co-ordinating and monitoring the repairs, planned works, empty homes, compliance and grounds services delivered by direct tradeteams and contractors, effectively responding to queries. Co-ordinate with all teams to ensure trade teams training, leave, sickness and team days are planned in diaries to ensure there is enough resource to manage the work demands. Liaise with supervisors,external suppliers, contractors and customers to provide information and support to them as required. Act as an ambassador to live CHPs values, taking appropriate action to ensure that customers are well informed and feel safe in their homes, by collectingproperty data, checking customer details and providing appropriate customer advice and support. Undertake administrative, financial and analytical activities to support the general operation of the Operations team where required. Provide regular progress reportsto the Planning Supervisor and the Operations management team in relation to service delivery. Process recharges for empty homes, repairs and grounds maintenance works and liaise with other teams on the administration of these. Use Keyfax to raise additionalorders for works if required and apply all job costing information accurately and in a timely manner to works in progress or completed jobs, forwarding to the appropriate person or team. Identify and input relevant maintenance information to the Asset Managementdatabase. Liaise with trade teams, supervisors and supply chain colleagues to ensure repairs are completed right first-time, reducing follow on works and improving the customer experience. Liaise with Supply Chain colleagues to co-ordinate van stock levels/equipmentto ensure replenishment is complete, correct and appropriately stored and labelled. Liaise with Supply Chain colleagues to ensure materials required are available and support addressing issues when this is not the case. Liaise with Planner Supervisor on theupdating of all repairs scripts to ensure these are kept fully updated. Liaise with and advise Customer Service teams to resolve queries at the first point of contact, acting as subject matter expert on a rotational basis as directed. You may be required towork flexibly between the hours of 8am to 6pm, on a rota basis. Undertake any other responsibilities relevant to this post, as directed by your line manager.PERSON SPECIFICATION Essential Qualifications Evidence of attainment of good literacy and numeracy, eg, through GCSEs or equivalent) or equivalent demonstrable prior learning. Experience, knowledge and skills Experience of office systems and procedures, ideallyin a repairs reporting, maintenance or scheduling role. High level of computer literacy including a good working knowledge of Microsoft Office packages (Word, Excel and Outlook). Ability to analyse numerical data and create reports to meet business requirements.Previous use of housing management systems. Previous use of contractor works management systems. Experience of invoice processing. Ability to update repairs scripts. Experience of working in a customer focused environment. Able to prioritise work and manageconflicting deadlines. Confident organiser. Self-motivation with the ability to use own initiative. Methodical and accurate approach to work. Understanding of compliance, asbestos, gas safety, electrical safety, fire, water management, CDM 2015.
