Job Description

Wow Factor: An exciting opportunity has arisen for a Temporary Executive Support Assistant. Our client is looking for immediate temp support. If you are looking for a position to grow as a EA then this is the perfect role for you.Role: Temporary Executive Support AssistantType: Temporary HOURS: 9am - 5.30pmSALARY: £14-£17 per hour depending on experienceLOCATION: WestminsterCULTURE: Professional, busy and friendly.What you will be doing…Liaison with outside agencies and staff, and management of appointments.

  • Brief, provide advice, and feedback to the Executive Leadership Team on key issues as
appropriate in preparation for meetings including the provision of necessary paperwork.
  • Supporting with planning, co-ordination and minuting of Principals Meetings and Board
Meetings, as needed.
  • Organisation and maintenance of email and diary management
  • Manage correspondence by preparing letters, producing documentation, briefing papers,
reports and presentations as requested.
  • Accompany and support at internal and external meetings as requested and ensure all
documentation is prepared in advance of the meeting-taking place and minutes andactions are recorded after each meeting.
  • Arrange meetings/rooms, maintaining the contact lists, organising filing, booking travel and
hotel rooms, organising conference calls and ensuring the smooth administrative operationof the Shared Services function.
  • Maintaining and monitoring expenses
  • Receive reports, minutes and agendas for all relevant meetings, including Trust Board and
Committee meetings on behalf of the Executive Leadership Team.To be successful in this role you will have…
  • Ability to community with all stakeholders effectively(verbally and written)
  • IT Proficient and technically fluent
  • Excellent organisational skills, including the ability to work on multi tasks at any one time, prioritising
  • conflicting demands.
  • Ability to work as a team as well as independently
  • Ability to respond to the unexpected
  • Ability to structure own time and create transparent approach to workflow management
