Job Description

We are looking for an experienced school administrator to join our office team as Attendance and Admissions Officer.About UsHarris Primary Academy Mayflower is a successful academy that was judged outstanding in every category in our May 2017 Ofsted inspection.Weare a 5 form entry primary school, opening with a Reception cohort and are growing by a year group at a time with currently 902 pupils on roll from Nursery to Year 6. This will make our academy, which was funded under the free school programme with backingfrom Thurrock council, the Department for Education and the Harris Federation which sponsors the free school, the biggest primary free school in the country.We are a sister school to Harris Primary Academy Chafford Hundred and Harris Academy Chafford Hundred,along with the other Academies in the Harris Federation. We work very closely together and share the very best practice and leadership knowledge and capacity to make the education we offer outstanding. This is reflected in both the exceptional day to day practice here as well as the outstanding outcomes our children have achieved in each year.Main Areas of ResponsibilityThepurpose of your role will be: Administration of Nursery, Reception and in year admissions to the academy Co-ordination of Appeals Data administration and support Improve and monitor attendance for all pupilsYour responsibilities will include: Assisting SeniorLeadership Team in the Management and Development of attendance and punctuality policies Daily monitoring and follow-up of attendance and punctuality Participating on late desk Making home visits with the Education Welfare Officer or member of SLT Sendingtemplate letters to parents regarding attendance matters Ensuring the smooth operation of the computerised registration system Ensuring daily attendance information is entered accurately onto the system Establishing the reason for absences in liaison withparents Preparing and distributing attendance and punctuality certificates Following up on poor attendance or punctuality Liaising with the Educational Welfare Officer to ensure prompt, consistent and rigorous intervention with poor attendance Monitoring studentattendance together with pupils progress and performance in relation to targets set for each individual Dealing efficiently and effectively with referrals on attendance concerns Alerting staff to problems experienced by pupils and to working collaborativelywith other academy staff as to how these may be resolved Communicating with parents and with persons or bodies outside the Academy concerned with the welfare of individual students Organising fortnightly meetings with SLT to review attendance figures and actiontaken As LAC mentor, meeting with LAC students weekly and passing on any relevant information regarding their welfare to appropriate staff Administration of admissions in to the Academy, including co-ordinating open mornings and taking and responding to telephoneand e-mail enquiries Main point of contact for Admissions, Open Evening, Transition and other student Induction events Administration of Open Morning, including arranging publicity and assisting at the event Ensuring that transition and enrolment with theAcademy goes smoothly Contacting the parents of students who do not start the Academy when expected. Developing relationships with feeder and local Nursery Schools and settings Keeping up to date with new Admissions Regulations and policies Co-ordination ofappeals Administration of In-Year admissions in to the AcademyQualifications & Experience A good standard of education especially in literacy and numeracy Sound knowledge of Microsoft software Knowledge of MIS for input and export of student attendance dataand the generation of reports. Training on MIS in relation to attendance and report generation Knowledge of attendance policies and procedures Knowledge of the range of agencies that work with students and their families Basic knowledge of first aid (e.g.emergency first aid course) or willingness to undertake training. Knowledge of a range of attendance codes and when they can be used Knowledge of many of the social issues facing students from disadvantaged backgrounds Two years experience of working in aneducational establishment Experience of meeting with parents/carers formally and informally Experience of managing attendance systems, including completing weekly, half termly and annual reports Experience in a similar role Ability to effectively prioritiseown workload.
