Job Description

Fleet AdministratorThese are exciting times for the charity, and we now have an excellent opportunity for a self-motivated and flexible team player to join the busy Fleet Team.Position: Fleet AdministratorLocation: Based in Sidmouth, Devonan area of outstanding natural beautyHours: Full time, working 37.5 hours per week, 08.00 - 16.30 Monday to FridaySalary: £24,584 per annumContract: PermanentBenefits: Generous annual leave, pension scheme, Healthshield plan, confidential counselling service, subsidised restaurant, free parking, enhanced maternity/paternity benefits, Life Assurance Scheme, 31 days holiday per year, inclusive of the 8statutory public holidays. This increases by one day each year until a maximum of 34 days is reached.Closing Date: Tuesday 28 February 2023The RoleWith previous experience of working in an administration or customer service role in the motor industry, you will provide full administrative support to the team, delivering a high level of customer service to internal and external stakeholders, ensuringthat processes are efficient, cost effective and that work undertaken ensures the charity remains legally compliant.Your principal duties and responsibilities will include:

  • Acting as first point of contact for all Fleet enquiries.
  • Supporting the Fleet Department with the pool car booking system and use of the pool cars.
  • Assisting the Fleet Maintenance Advisor with safety checks (both before and after use).
  • Providing assistance to employees using pool cars and ensure they are familiar with the car and the controls.
  • Assisting the Fleet Administration and Compliance Coordinator with maintaining an accurate record for all company drivers, including LGV and undertake annual driving licence checks.
  • Ensuring that all vehicle records on the Fleet database are maintained.
  • Working with the Procurement and eBIS to set up new suppliers, raising purchase orders and processing all invoices for payment, ensuring that all data is added to the Fleet software systems and online vehicle files.
About YouAs Fleet Administrator, you will have experience of working in the motor industry within a busy administrative role.You will also have:
  • Good knowledge and practical application of vehicle maintenance, ensuring a high level of technical competence when dealing with suppliers and stakeholders.
  • Excellent communication, IT and problem solving skills.
  • Able to maintain a high level of accuracy and attention to detail whilst working with a number of conflicting demands and timescales.
  • A full, valid UK driving licence.
