Job Description

Salary: £24,000 per annumContract Type: Full Time. Permanent.Location: Sheffield International College.JOB OVERVIEWThe Registry and Operations team within the College are responsible for ensuring that the students central record within the student information management systems are accurate and maintained, and reflect the students journey throughout their programme.Through the maintenance of the databases, the team is also responsible for providing key data sets and statistical information for all stakeholders, both internal and external. This includes student timetables, personal data, and programme of study, assessmentand examination information and compliance documentation.The Coordinator is jointly, with other Registry & Operations Coordinators responsible for the day-to-day management of the Registry and Operations Team, which includes task delegation, data creation, auditing data and systems, monitoring, resourcing andproblem solving.KEY RESPONSIBILITIES

  • Work with the Quality Officer to ensure all examinations and assessments run smoothly from an operational point of view and that all materials are available in a timely manner.
  • Ensuring that Progresso assessment screens are set-up and that they are released and locked in a timely manner as well as the creation of the End of Term and Resit examination timetables.
  • Preparation of the annual Assessment Schedule and publishing this to students at the start of their studies
  • Ensure student records with The University of Sheffield are created and that all relevant information is transferred into the student information management systems and students are enrolled onto their course modules, other online platforms and the CollegeVirtual Reception through Blackboard
  • Oversee student registration at all intake points to ensure students records are updated, relevant documentation uploaded and that quality audits are undertaken for accuracy and missing information.
  • Undertaking quality checks at each stage of the process to ensure information is accurate and reflects the requirements of the Head of Programmes and Subject Leaders.
  • Working with senior academic staff, ensure the termly timetable is produced in a timely manner ensuring any staffing shortages are highlighted for recruitment purposes and that students receive their timetable ahead of the commencement of classes.
  • To lead on data quality audits to ensure compliance at all times pertaining to Student visas and UKVI Sponsor Compliance
  • Manage the staff recruitment on-boarding process to ensure the College is compliant at all times and that staff records are created enabling them to have a smooth transition into the College. This includes their setting up of their IT accounts with bothStudy Group and The University of Sheffield.
  • Lead on the sessional staff timesheet process to ensure they are paid accurately and on time, avoiding any late penalty fees applied by head office. Undertake training with new Sessional Staff to ensure they fully understand the process and are aware ofall the timesheet deadlines.
  • Acting as a key contacts for DSE Assessment
  • Assisting the Head of Function with regular cleaning inspections to ensure the standard of cleaning within the College is in line with the contract specification
  • Assisting the Head of Function with an annual maintenance plan to ensure the College remains in a suitable condition conducive to teaching and learning
  • Reporting all H&S incidents to the Study Group H&S Manager and USIC Senior staff
  • Health and safety policy implementation along with the Head of Function: Registry and Operations
  • Ensuring the College has adequate furniture and classroom provision for the teaching of its students by ensuring termly audit checks are carried out
  • Oversee the invoice coding process to ensure that supplier invoices are paid in a timely manner
  • Recruitment, training, monitoring and management of student employees and temporary staff
  • Contribution towards team members annual Professional Review and Development
EXPERIENCE
  • Ability to organise events/activities/projects
  • Ability to consider potential issues and put measures in place to deal with implications
  • Good IT and data management skills including: competency in Excel, Outlook, Power Point, Word, and a willingness to learn and adopt new technologies
  • Ability to extract reports and analyse data for reporting, to aid decision making or to support a case for change
  • Understanding the implications of your and your teams work in the wider context of the College and externally
  • Ability to understand other teams functional areas
  • Experience in HR duties, such as delivering training and/or taking part in the recruitment process
