Job Description

Pertemps are working with a large Education establishment to recruit a PA/Senior Administrator to cover a period of leave until the end of July.The role is to provide administration support to 2 members of the leadership team, including Diary and inbox management,meeting support,and general admin support.Other duties:

  • To deliver a proactive and efficient administrative and executive support service; supporting and advising on a range of processes and systems.
  • To work collaboratively to deliver a multidisciplinary, inclusive and responsive service, ensuring customer service excellence.
  • Deliver customer service excellence, ensuring consistency and accuracy in accordance with relevant systems, processes and regulations.
  • Contribute to service development and innovation; recommend improvements to systems/ processes; prepare management information; support customer engagement with formal feedback mechanisms and carry out research to inform continuous improvement.
  • Working collaboratively across Professional Services, to provide consistent and high quality service provision; liaise with stakeholders and colleagues; share information and represent area in working groups and meetings.
  • Embody the values both within and outside the organisation, role modelling behaviour and supporting equality, diversity and inclusion.
  • Work flexibly across Professional Services to accommodate peak periods and adapt to changing demands in service delivery. Provide operational support to the annual programme of activities, e.g. Open Days, Course Information etc.
  • Promote the culture and vision of Professional Services, demonstrating a commitment to ongoing personal development.
Role Specific Responsibilities:
  • To provide advice, guidance and administrative support for planning and business, to ensure integrity of service, including providing support for academic processes e.g. alumni engagement and accreditation management;
  • To provide proactive and flexible administrative support for senior managers within thesetting e.g. diary and email management, organising meetings, document formatting, room bookings and travel arrangements.
  • To occasionally supervise staff/seasonal workers through induction and ongoing day to day support with queries.
  • To contribute to the ongoing development of processes and procedures for the team, including guidelines and standards of good practice in the provision and maintenance of information.
  • To coordinate a range of events, visits, training, meetings and appointments e.g. arrange facilities and hospitality; respond to queries, organise communications and mail outs; book travel arrangements; visas; itineraries/schedules
  • To support the development and operation of administrative systems, record keeping within an agreed framework.
  • To support or lead, where appropriate, specific projects/schemes/ areas of work and evaluate the impact and effectiveness.
  • To support the development of online resources, proactively ensuring currency and accuracy of information e .g. social media channels, designated websites, module diets
  • To act as an initial point of escalation, providing more in-depth guidance and support for a diverse range of queries; maintain confidentiality and treat sensitive issues with appropriate tact and diplomacy.
  • To provide support for a range of committees, forums and working groups; coordinating meetings, collating and disseminating information, room bookings, agendas, preparation of papers, minutes/note taking and follow up action, including pillar boards.
  • To assist with communications and the promotion of activities/services following an established set of protocols and principles, in collaboration with other areas as required.
Required skills and experience:
  • Previous Senior Administration experience
  • PA experience such as Diary Management skills
  • Secretarial duties
  • Excellent Telephone manner
  • Excellent IT skills using Word, Excel and Outlook.
  • Smart appearance
  • Excellent Organisational skills
