AdministratorContract length: 2years plus (until end of 2024)Summary:My high-profile utilities/renewable energy client looking for an Administrator to join their team based in Selby. The Administrator will be responsible for process, analytical and administrative support to the Capital Projects team helping to support smoothand efficient business operations. As Administrator youll be preparing and managing files/documents for company projects and day to day orders. Youll be responsible for generating customer documentation requirements, quality and inspection plans. Youll be required to work flexibly as part of a team providing a wide range of general office and administrative duties.Key Accountabilities: Responsible for organising internal and external project meetings including diary management, set up of conference calls, and managing attendees. Supporting the project team with the preparation and circulation of meeting materials, including agendas, and taking accurate minutes that reflect the discussions held. Managing the Project inbox. Supporting the project team by collating and managing feedback and scoring during the procurement process. Supporting the project team by regularly reviewing and maintaining core project documentation. To provide other support that may be reasonably requested by the Project Managers. Arranging meetings/visits/conference calls with internal and external stakeholders Working with project managers, legal, finance and technical teams Taking minutes, recording actions and following up on these Managing filing systems of documents received and sent to Contractors Using systems to support the team such as Maximo, sharepoint, data-port, and MS Office Dealing with purchasing queries such as creating requisitions, receipting goods, and solving general invoice queries Administering and managing document databases Producing technical documentation, records and statistics as needed Management of invoices Provide specific task support and ad-hoc administrative duties to support the team as and when required and in a timely manner, including cover for other job scopes Analysis of data across various activities for monthly reports, quarterly reviews and functional dashboards. Ensure that all compliance records are maintained, recorded and areas of non-compliance raised to appropriate Drax employees and management in a timely manner. Demonstrate strong customer service levels in a professional can do manner. Take responsibility for tasks and communication. Experience required: Educated to a good standard (preferably A levels) including a minimum of Maths and English at GCSE grade C or above Computer literate and proficient in Microsoft Office products, demonstrating strong skills in Word, PowerPoint, Outlook and Excel. Good communication skills enabling interaction at all levels of the business both internally and externally, in a professional manner both written and verbally. To provide strong customer service levels to all internal and external customers and stakeholders, ensuring Group values and behaviours are demonstrated and encouraged in others at all times. Good prioritisation, co-ordination and organisational skills and a focus on solving problems. Is motivated by individual performance targets and contributes to team targets, displaying the correct behavioural attitudes. Be able to work under pressure and to fixed timescales. A high attention to detail Good organisation and time management skills Strong numerical and analytical skills with an ability to produce accurate work to tight timescales. Some exposure to project management would be advantageous Self-motivated and confident. Able to build positive relationships internally and externally Good written and verbal communication skills Positivity and drive with discipline and determination to get things done.
