Business Support AssistantSandbach£12.50PHAkton Recruitment are working with the Local Authorities to fill a position for a business support assistant.This role is initially a 14 month contract paying £12.50PH on full time hours, 37 per week.Job PurposeTo provide a comprehensive, confidential and responsive business management support to the Executive Support service, including MP Correspondance, formal administration of the Councils Corporate Leadership Team (CLT) and Informal Cabinet (IC) meetings andassociated processes, ensuring that work is progressed efficiently and within strict agreed timescales according to defined procedures.Responsibilities1. Provide full administration support to the Councils CLT and Informal Cabinet, including agenda preparation, logging and finalising reports, minute taking, update and management of action log and working closely with directorate business managers and democraticservices to ensure the smooth transition of reports to the Councils formal decision making meetings (e.g. Cabinet, Council, PH meetings)2. Responsible for ensuring that all incoming correspondence for the Leader and Chief Executive, liaising closely with the relevant Executive Personal Assistants, is recorded and monitored, to ensure that responses are provided by the appropriate person(s)within agreed timescales according to importance, urgency and priority; including drafting appropriate responses to routine enquiries3. Respond to complex enquiries, both over the telephone and in person, relating to the Service and the Councils CLT/IC processes etc., from a wide range of contacts, such as Elected Members, MPs, Chief Executives, members of the public, assessing their urgencyand importance and deciding on an appropriate course of action. Dealing with issues directly and/or liaising with Executive/PAs and Officers etc. to avoid unnecessary delays in responding4. Undertake research and compile/prepare reports for the Chief Executive, Cabinet Members, Executive Support Officer to the Leader and Executive Support Team Manager on specified topics, producing appropriate information and data in an agreed format.5. Provide practical support for defined programmes of work as directed by the Executive Support Officer to the Leader and Executive Support Team Manager this may include development of templates, co-ordination of responses, preparation of reports, circulationof documents and guidance.6. Develop and maintain a comprehensive confidential filing and data systems so as to provide efficient and readily accessible sources of information to aid accurate decision-making.
