Job Description

We are passionate about providing unique, enriched working environments that facilitate collaboration and community.www.eatworkart.comIt’s not yet live on our website but we are about to launch Alma Yard which is Eat Work Art’s Plymouth site set in a beautiful collection of Victorian warehouses.Role overview:This is a varied role and an opportunity to play a central role in the development of an exciting, growing community as well as the Devon-based branch of Eat Work Art.

  • Assisting with researching and sourcing fixtures, fittings and furniture, assist with design decisions, curating mood boards, material boards, supplier lists and for build and refurbishment projects
  • Researching and performing a wide range of tasks as required - for example researching or following up potential development sites, drafting letters, checking contracts, making complaints with suppliers, company background checks etc
  • Managing MD’s email.
  • Oversee meeting agendas, minutes and action points
  • Writing up agendas for or action points from meetings
  • Implement and manage best practice e-filing systems, and paper filing, carrying out regular spot checks and team training to ensure these are impeccably maintained
  • Managing and timetabling follow up meetings, emails or other communications
  • Researching where necessary and arranging appointments and meetings with contractors or other professionals
  • Arranging holidays, travel
  • Arranging and overseeing events
  • Assisting with HR and payroll updates and lead on recruitment in Devon
  • Managing personal administration and run personal errands
  • Managing all administration (bills, utility supplies, applications, insurance, trade accounts, payments and expenses etc) for myself and Beden.
  • Finding and arranging suppliers as required.
  • Oversee the use of project management software and CRM systems to ensure accurate data entry, best use of the systems for efficiency and tracking and reporting on KPI’s
  • Managing any lettings or potentially holiday lets on the property
  • Liaising with Natural England, DEFRA, Dartmoor Commoners’ etc as required and ensuring that all required paperwork is submitted on time and that any grant conditions are being met.
  • Managing social media and other communications associated with Beden
  • Ensure we comply with GDPR
  • Skills and Experience:
  • Excellent organisational and communication skills
  • Professional, efficient and discrete
  • Self-motivated, capable of prioritising without frequent direction
  • Experience in a PA role to a senior manager or executive
  • Excellent computer literacy and presentation skills
  • Strong knowledge of e-filing systems
  • Ability to oversee systems and processes company wide
  • Some experience with CRM systems and project management tools or software
  • HR and employment health and safety experience
  • An eye for detail
  • Excellent at research, both online and by traditional methods
  • Confident about negotiating prices and discounts
  • An appetite for getting to know our taste and what matters to us to help with your research, eg. ecology, fair trade, authenticity, local artisans, made by hand, natural materials etc.
