Job Description

Our client, a well-established firm of chartered accountants based near Saffron Walden, is looking for an Administrative Assistant to join their Administration team. This role is office based and provides support to all areas of the firm, including day-to-daysupport to the Office Manager.Responsibilities will include:

  • Answering external calls (to direct callers or take detailed messages)
  • Meeting and greeting visitors
  • Providing refreshments and arranging hospitality
  • Ensuring that the office is well presented at all times
  • Dealing with incoming and outgoing post
  • Stock control for stationery and in-house provisions, and maintaining equipment
  • Making up files for new clients and maintaining files of existing clients
  • Booking/checking-in of client records
  • Scanning and archiving
  • Assisting with updating and maintaining internal systems, including the firms client database
  • Preparing numeric data and performing basic calculations
  • Preparing and E-filing Companies House forms
  • Communicating with clients to request information or provide assistance
  • Assisting with carrying out office health and safety checks and tests when scheduled
  • Updating the internal staff database and telephone directory
  • Composing letters and e-mails
  • Arrangement of couriers
  • Supporting the Office Manager with ad-hoc duties
  • Managing deadlines
  • Establishing a rapport with directors, managers, and staff.
The ideal candidate will have the following essential skills and experience:
  • Previous experience of working in a professional services environment
  • Previous experience in administration roles (minimum 12 months)
  • Excellent written and spoken English
  • High standards of literacy and numeracy (comfortable working with numbers and making basic calculations)
  • Proficient use of email, calendar, and the internet
  • High standard of typing accuracy
  • Strong IT skills (including MS Word and Excel)
  • Excellent customer service and telephone manner
  • Ability to learn new skills and, working procedures, systems, and software
  • Excellent organisational skills
  • Ability to prioritise a busy workload and work effectively under pressure
  • Strong interpersonal skills.
