My client a Chartered highly successful Financial Planning firm, is actively looking to recruit a skilled Administrator with a background minimum of 6 months within the IFA Sales Support Industry. The role will involve the following requirements of a successfulindividual. This role is going to develop the successful applicant to senior administration/customer relationship manager.General Administration Answering the telephone Ensure back-office systems are kept up to date Filter FPs general information, queries, phone calls and invitations Open, scan, log and allocate incoming post Frank and deliver outgoing post to the post office General correspondence Arrange collection of recycling/shredding waste Dispose of confidential paper documents once actioned Monitor Group Admin inbox Write up meeting notes Maintain Pipedrive database Take part in and contribute to daily huddles Monday morning meeting preparation and minutes Other duties as directed by managementClient Servicing Provide a friendly and professional point of contact for clients and enquiries (by phone, email and in person) Organize existing and prospective client meetings Create and maintain accurate client records on the back office systems, platforms and any other IT systems Prepare client documentation and correspondence pre and post meetings as per business process Ensure action points resulting from client meetings are diarized and actioned Ensure that relevant service standards are delivered throughout the year Input new clients on back office system Obtain illustrations and application forms as required Production of portfolio valuations Run Attitude to Risk questionnairesIn addition, the candidate will be responsible for the following:- Organize Prime/Select client review meetings as per Annual Review Process Prepare client review documentation as per the Annual Review Process Support FPs in the delivery of the reviews Assist in implementation of agreed action pointsEssential Experience with Microsoft Word, Excel and electronic diary management (Outlook) Relevant experience working within a financial planning environment Experience of working as an administrator/receptionistDesirable Knowledge of AO (the client data management system that we use) - Advisor Office system Advanced knowledge of Microsoft Excel and Microsoft Word Knowledge of Financial Services Products Interest in obtaining industry relevant qualifications and developing to senior administrator/customer relationship managerResponsibilitiesFantastic opportunity for a skilled Administrator in the IFA or investment or pensions industry.
