Job Description Job Title : Scheme Manager40 hours / week5 days / 7Hours/Shifts: 09.00 - 18.00 / Could vary at times depending on cover and summer periodProperty: Plymouth Sites - Alexandra Works, Central Point, Discovery Heights, St Teresa House, St Thomas CourtDirect Report: Regional ManagerTeam that report into this role: 4 Maintenance, 6 Housekeepers, 7 CSA, 2 Assistant Scheme Manager, Outsourced securityKey Duties & ResponsibilitiesManagement of PeopleTo be responsible for the recruitment, selection and appointment of all staff within Capitol Students Plymouth.To ensure consistent application of Capitol Students policies and procedures by beingresponsiblefortheinduction andtraining ofall appointedstaff.To oversee the supervision of all staff within Capitol Students Plymouth. This includes schedulinghours ofworkandtaskallocation.Acting as a leader and role model for the team, to be responsible for staffmotivation through support, training, counselling and appraisal mechanisms inordertoachieve peakproductivityandperformance.To constantly review, evaluate and action where necessary each employees’performanceToberesponsiblefortheadministrationandupdateofallemployees’administrationrecords.To ensure that at all times, all legal requirements are met including Health &SafetyatWork,COSHH,EmploymentProtectionActs,EqualRightsLegislationand theHousing Act.To ensure that all areasare covered duringsicknessand absence.Create a culture where all team members feel confident to contribute and confident in raising any concerns about any matters in the property or practices.Office Administration Manage the administration, housekeeping, maintenance and security teams. This includes setting out their tasks and responsibilities and preparing working rotas as necessary.To ensure statutory obligations and Company Policy relating to Privacy andData Protection law are observed. To be a champion for data privacy at alltimes and foster a culture of information security amongst employees withintheschemeatall times.Maintain a close relationship with other Capitol Students sites management teams, suppliers and business partners.Develop, review and update office documents as necessary.Manage staff holidays and sickness logs.Manage timesheets and ensure correct hours are submitted to payroll.Respond to student requests and queries on generic site email address.Oversee financial administration procedures such as invoices, banking reconciliations, expenses and petty cash.Ensure that student’s rent is paid on time and follow the credit control procedures for any rent arrears.Ensure that spending and revenue meets budgetary targets.Hold regular team meetings to ensure staff are updated on any changes to company policies and procedures.Work collaboratively to help support the overall operational team to deliverits businessplan and broaderobjectives.Working in a collegiate and supportive manne rwith colleagues, ensuring opportunities to share best practice are utilised.Customer Care and Pastoral SupportProvide front desk, telephone and written support to customers and stakeholders in line with Capitol Students company policyProvide support, signposting and advice to customers to assist them in dealing with student life e.g. mental health, financial advice, learning support, university lifeTake disciplinary action against students who breach their Licence Agreement and Acceptable Behaviour PolicySupport the teams to organise social events with student inputHold regular meetings with a target group of students to gain feedback and highlight possible areas of improvement or changeFollow up all complaints and see through to a resolutionEnsure that all enquiries are responded to professionally and in a timely mannerDevelop a culture of aspiring to provide the best customer service withinthe accommodation, ensuringallemployees know eachandevery studentanddevelop a rapport withthem to ensure a personal connection is madewitheach person.Ensure that all staff within capitol, deal with the public, residents, outsideagenciesandtheircolleaguesin acourteousandhelpful manner atalltimes.Assist all customers in a professional and courteous manner,communicating effectively both face to face and on the telephone, showing empathy and responding with urgency to customer requests.Deal with any service related issues in a timely manner, following up on any unresolved matters and engaging with other colleagues and senior management when necessary.Business DevelopmentArrange and perform sales viewings for prospective customersPromote the business at University open daysUtilise online materials and social media to promote the Capitol Students brandDevelop and implement new marketing strategiesBuild and maintain close relationships with Universities and other educational establishments
