Job Description

Ashman Architects is hiring a studio manager to join its team in Peterborough.Salary: £30k - £35k pro-rataPosition: permanent, part-time - three days per week, two days remote one day from the officeWorking hours: 9am to 5:30pmHolidays: 20 days plus bank holidays plus complimentary Christmas closureWe have a wonderful opportunity for a proactive and enthusiastic practice manager to join our team with the opportunity to work both remotely or from our Peterborough office in Cambridgeshire.A key position within our young and expanding studio, this is a wonderful opportunity for the right person to be involved in multiple aspects of the business, from general admin and PR tasks to HR, marketing, finance and operations. This is a role that willprovide you with plenty of opportunities to learn new skills and develop your career with us.Working very closely with the practice director, you will be instrumental in ensuring the smooth running of the practice, coordinating different aspects of the business, developing new systems and processes, identifying areas for improvement and guidingbusiness activities towards achieving the studios growth plans.Responsibilities include but are not limited to:

  • support the director in business development
  • organising events (office and business related)
  • management of social media accounts
  • assist with marketing initiatives including publications and events (e.g. Grand Designs)
  • general studio admin including managing IT, insurance, supplier contracts and general filing
  • ensure the studio complies with statutory obligations including health and safety
  • studio maintenance including liaising with suppliers and ensuring office supplies and resources available to staff
  • prepare, edit and review documents, reports and letters
  • assist architects with administrative tasks including preparing fee proposals and invoicing
  • CPD organisation and training
  • update website content (projects, blogs)
  • manage online accountancy programme (Quickbooks or Xero experience is beneficial)
  • manage cash flow forecast, process expenses, reconcile accounts and download finance reports
  • liaise with the accountant for Payroll and to prepare VAT returns and end of year accounts
  • review projects, timeframes and resources in line with costs, profitability and efficiency
  • manage all HR functions including project resourcing, monitoring timesheets, annual leave and absences and recruitment and onboarding activities
  • provide PA support to the director including booking travel arrangements, meetings and events
  • manage internal CRM system
Required skills:
  • advanced in Microsoft Office (particularly Excel)
  • proficiency in Adobe Creative Suite including InDesign
  • experience using Quickbooks/Xero preferable
  • previous experience in a Practice Management role
  • excellent organisational skills
  • strong communication skills
  • high standard of written and spoken English
  • proactive, can-do attitude
  • ability to meet deadlines and prioritise workloads
  • to be thorough and efficient
  • ability to work well autonomously and as part of a bigger team
