Personal Assistant to Residential Home ManagerLocation: PeterboroughHours: 40 per week, M-F (8:00-17:00)Salary: £14-£15 (Temp to Perm)Our client is looking for an organised, reliable Personal Assistant to support a Residential Home Manager and deputy in providing excellent care to their residents. The ideal candidate will have strong administrative skills, excellent communication skills,and a compassionate nature.Key Responsibilities:•Assist the Registered Manager with the smooth administration and recording of all office diaries, appointments, and redirection of email.•Ensure accurate recording and administration of shift rotas and attendance in collaboration with the Registered Manager, to facilitate precise payroll processing.•Adhere to in house policies and procedures when administering the Purchase Order system for medical supplies, staff training, agency staff, etc.•Manage the personal funds of residents, which includes acting as a signatory for their bank account, keeping an up-to-date reconciliation, withdrawing funds, and contacting families when necessary.•Maintain petty cash spreadsheets and oversee all petty cash transactions for the Unit, including conducting monthly audits.•Handle all enquiries in a manner that promotes the companys goodwill, including referrals and general inquiries.•Safeguard the confidentiality and security of all Company information, with particular emphasis on Staff Personnel Records, Resident’s Finance Files, and Payroll information.•Record and produce minutes for Local Governance, morning meetings, Nurses meetings, Disciplinary meetings, and other ad hoc meetings as necessary.•Assist the Registered Manager with the smooth administration and recording of all office diaries, appointments, and redirection of email.•Function as the line manager for unit administrators and receptionists, delegating tasks as required.•Perform any reasonable duties as requested by your Line Manager.Requirements:•Proven experience as a Personal Assistant or similar role•Excellent organisational and time management skills•Strong communication skills, both written and verbal•Ability to work under pressure and handle multiple tasks simultaneously•Proficiency in Microsoft Office and other relevant software•Compassionate nature and ability to work with vulnerable adults•Ability to filter information and assess priorities and meet deadlines.•Ability to exercise discretion in dealing with confidential or sensitive matters.•Confident and able to work on own initiative and with limited supervision.If you are passionate about providing excellent care to vulnerable adults and have the skills and experience required for this role, we would love to hear from you.
